Job Purpose

The Sales Coordinator is responsible for supporting the Leasing Account Managers in delivering an exceptional customer experience and achieving business growth objectives. The role involves preparing customer quotations, coordinating vehicle enquiries, compiling customer order files, tender responses and presentation packs, processing vehicle orders and ensuring all sales administration is completed accurately and efficiently.

Reporting to the Commercial Director, this hybrid role requires a minimum of two days per week in the Burton-on-Trent office following successful completion of probation.

Key Responsibilities

Sales Support

  • Act as the central function support for the sales team across the business.
  • Assist Account Managers in the preparation of vehicle quotations and customer orders.
  • Produce vehicle quotes and supporting information for customers.
  • Assist with customer reviews.
  • Prepare professional sales presentations and customer proposal packs.
  • Compile customer information and supporting documentation for meetings and account reviews.
  • Coordinate sales activity and support the team in achieving commercial objectives.
  • Track actions from sales meetings and follow up with stakeholders to ensure completion.
  • Work collaboratively with colleagues across sales, implementation and operations teams.
  • Contribute to continuous improvements in sales processes and customer experience.

Tenders & Proposal Management

  • Assist with the preparation and submission of tender responses, framework bids and customer proposals.
  • Gather information from internal departments to support tender and proposal requirements.
  • Compile professionally presented customer packs, bid documents and supporting materials.
  • Ensure tender submissions are completed accurately and within required deadlines.
  • Maintain a library of standard company information, case studies, accreditations and supporting documentation for use in proposals and tenders.
  • Support the Commercial Director and Account Managers with customer presentations and commercial submissions.

Documentation & Administration

  • Prepare customer order files and supporting documentation.
  • Maintain accurate customer records and documentation.
  • Support compliance checks.
  • Produce reports, management information and sales updates as required.

Skills & Experience

Essential

  • Previous administration, coordination or customer service experience.
  • Excellent organisational and planning skills.
  • Strong attention to detail.
  • Excellent written and verbal communication skills.
  • Ability to manage multiple tasks and deadlines.
  • Proficient in Microsoft Word, Excel and Outlook.
  • Strong customer service focus.

Desirable

  • Experience within vehicle leasing, automotive, fleet management or financial services.
  • Experience using CRM systems.
  • Understanding of vehicle ordering and administration processes.
  • Experience supporting a sales or account management team.
