About the position

The Sales/Bid Support Manager supports Plextek’s growth activity by providing disciplined bid management, CRM governance, sales operations support and proposal coordination across defence and wider technology opportunities. The role works closely with deal owners, campaign leads, engineering teams, project managers, finance, commercial and legal colleagues to ensure opportunities are qualified, progressed, bid, contracted and handed over in a controlled, timely and professional way.

Role Purpose

  • Manage and coordinate the full lifecycle of bids from opportunity qualification through to proposal submission, pricing support, contract acceptance and handover into delivery.
  • Provide structured support to sales and campaign activity by maintaining CRM discipline, bid schedules, action tracking, documentation control and stakeholder coordination.
  • Act as a central point of coordination between deal owners, campaign leads, engineering, project management, finance, commercial and legal teams to ensure high-quality and timely bid responses.
  • Maintain HubSpot CRM as the authoritative source for opportunity status, customer information, bid activity, next actions, forecast data and management reporting.
  • Support the development and continuous improvement of Plextek’s sales and bid processes, ensuring consistent governance, effective qualification and clear decision-making across opportunities.
  • Enable successful transition from proposal acceptance to project execution by coordinating order acceptance, internal handover and early delivery readiness.

Key Responsibilities

Bid Management and Proposal Coordination

  • Manage and coordinate the end-to-end bid process, from initial opportunity qualification and bid/no-bid support through to proposal submission, contract negotiation support and order acceptance.
  • Work with the deal owner to define the bid plan, schedule review meetings, assign actions, set timescales, manage dependencies and track deliverables through to completion.
  • Coordinate bid inputs from internal stakeholders including campaign leads, the CTO Office, engineering teams, project management, finance, commercial, legal counsel and senior leadership.
  • Support the production of proposal content, including bid structure, compliance matrices, project plans, delivery assumptions, customer documentation and supporting material where required.
  • Maintain version control, review discipline and submission readiness for bid documents, ensuring proposals are accurate, complete, compliant and aligned with customer expectations.

CRM, Sales Process and Pipeline Governance

  • Monitor and manage day-to-day HubSpot CRM usage, supporting accurate and timely entry of contacts, companies, opportunities, lead sources, activities, next actions, close dates, probabilities and forecast information.
  • Support sales colleagues in applying Plextek’s sales process consistently, including opportunity qualification, stage progression, governance reviews, bid performance analysis and pipeline reporting.
  • Provide regular CRM data-quality checks and follow-up with opportunity owners to improve completeness, accuracy and confidence in management information.
  • Prepare CRM-based reports and dashboards to support sales reviews, bid reviews, campaign updates, event follow-up and leadership decision-making.
  • Assist the rollout and adoption of new business tools, processes and AI-enabled search or knowledge tools where directed.

Frameworks, Portals and Opportunity Monitoring

  • Manage government frameworks, customer procurement portals and defence opportunity platforms where directed, including regular checks for new opportunities, updates, supplier requirements and submission deadlines.
  • Coordinate triage of identified opportunities with the relevant sales, campaign and technical stakeholders, ensuring timely decisions and clear ownership.
  • Assist with supplier onboarding questionnaires, customer registration processes, compliance documentation and portal submissions.
  • Maintain records of framework status, portal access, key deadlines, submission requirements and follow-up actions.

Commercial, Legal and Partner Support

  • Liaise with finance and commercial colleagues to support pricing inputs, proposal approvals, order acceptance and commercial governance.
  • Coordinate with legal counsel to ensure bid information, customer terms and conditions, supplier requirements and contractual assumptions are available for timely legal review.
  • Support partner and subcontractor management for collaborative bids, including input coordination, document exchange, action tracking and contribution to partner-facing bid material.
  • Help maintain an organised record of commercial assumptions, partner inputs, customer clarifications, negotiation points and agreed actions throughout the bid lifecycle.

  • Coordinate order acceptance activity once a proposal is successful, ensuring required approvals, documentation and internal records are completed.
  • Support structured handover from sales and bid activity into project execution, ensuring project managers understand customer objectives, proposal commitments, commercial assumptions, delivery milestones and key stakeholder context.
  • Liaise with engineering and project management teams to review near-term resource requirements linked to active proposals, accepted orders and forecast opportunities.
  • Help capture lessons learned from bids, proposals and handovers to improve future sales process discipline and bid effectiveness.

Success Measures

  • Bids are delivered on time, to the required quality standard and in line with customer instructions, internal governance and agreed review milestones.
  • HubSpot CRM is consistently maintained as the single source of truth for opportunity status, activities, contacts, next actions, forecast data and bid progress.
  • Bid review meetings, action tracking, proposal inputs and document submissions are well organised, clearly owned and completed to agreed timescales.
  • Sales process discipline improves through better qualification records, stage progression, bid/no-bid support, pipeline hygiene, reporting accuracy and management visibility.
  • Frameworks, portals and supplier registration requirements are monitored effectively, with relevant opportunities identified and triaged promptly.
  • Legal, commercial, finance, engineering and project management inputs are coordinated efficiently, reducing rework and improving proposal quality.
  • Successful bids are handed over into delivery with clear records of customer commitments, technical assumptions, commercial context, milestones and stakeholder expectations.
  • Lessons learned from bids and handovers are captured and used to improve future bid performance, process efficiency and customer responsiveness.
