Sample Coordinator
Location: Manchester, UK
The Role
We are looking for a highly organised and proactive Sample Coordinator to take ownership of the end-to-end management of product samples within our Manchester Studio.
You will be responsible for ensuring samples are accurately tracked, organised and available when needed for shoots, while managing the day-to-day movement of samples through the Studio. You'll work closely with Design, Studio, Production and international teams to resolve issues, maintain critical paths and ensure samples are delivered against agreed timelines.
This is a hands-on role suited to someone who thrives in a busy studio environment, enjoys keeping things organised and is confident taking ownership of processes from start to finish.
Key Responsibilities
- Own the end-to-end tracking and management of samples across pre- and post-production for all brands.
- Ensure sample records and tracking systems are accurate, up to date and clearly communicated to the Studio leadership team.
- Manage sample timelines and ensure samples are delivered in line with agreed SLAs and shoot deadlines.
- Take ownership of the day-to-day sample process and proactively identify opportunities to improve efficiency.
- Ensure all samples are correctly labelled, categorised and easy to locate.
- Monitor delays, missing samples and other issues, working with the relevant teams to resolve them quickly.
- Work closely with Design teams to identify and organise collection and campaign samples.
- Act as the first point of contact for the on-set Studio team when sample issues arise, including sample codes and critical path queries.
- Manage the critical path for samples across all brands, including scanning in deliveries, checking product codes and identifying discrepancies.
- Work closely with teams across Dubai and China to resolve sample and product issues where required.
- Take responsibility for the physical management of samples, including collecting daily deliveries, unboxing, hanging, cubing and organising stock.
- Work closely with DHL to monitor and manage incoming sample deliveries and parcels.
- Organise samples following production for sample sales and support the monthly sample sale process.
- Maintain a strong working knowledge of all samples held within the Studio and ensure they remain organised and accessible.
- Build strong relationships with internal teams and ensure clear communication throughout the sample process.
- Continuously look for ways to improve sample management, tracking and Studio efficiency.

- Previous experience in sample coordination or a similar Studio-based role is desirable, ideally around 1 year or more.
- Previous experience working within a fashion, e-commerce or Studio environment is essential.
- Excellent organisational and time-management skills, with the ability to manage multiple priorities simultaneously.
- Strong attention to detail and accuracy.
- Excellent verbal and written communication skills.
- Confident using a laptop and Microsoft and Google Workspace tools.
- A proactive, solutions-focused approach with the ability to identify and resolve issues independently.
- Comfortable working in a fast-paced, deadline-driven Studio environment.
- Strong interpersonal skills and the ability to build positive relationships across teams.
- Adaptable and comfortable managing changing priorities.
- A hands-on approach to physical sample management, including lifting and moving boxes and packages.
- A strong sense of ownership and accountability for keeping processes running smoothly.
