Job Title: Sample Coordinator (8 month Fixed-Term Contract)

Location: Hammersmith, London

Role Overview: The Sample Coordinator plays a key role in managing product samples and supporting product coordination across photoshoots, campaigns, and key projects. This position requires strong organisational skills, excellent attention to detail, and the ability to manage multiple workflows in a fast-paced environment.

Key Responsibilities:

  • Track, receive, and organise incoming and outgoing product samples.
  • Act as the main point of contact for all departments regarding sample location, availability, and usage.
  • Organise and maintain the sample calendar, communicating key handover, return, and sample requirement dates to relevant teams, ensuring all sample activity remains aligned with Critical Path timelines.
  • Work closely with Tech, Product Development, E-Commerce, Brand Communications, Production, PR, Design, Atelier, Merchandising and Sales teams to manage and fulfil sample requests.
  • Maintain a detailed tracker for all styles across collections, ensuring sample usage, location, movement, and return dates are consistently up to date.
  • Inspect incoming samples to ensure they meet brand standards, escalating issues for repair or replacement where necessary.
  • Organise sample sets to ensure smooth handovers for projects and photoshoots.
  • Ensure all required products are prepared and available ahead of scheduled shoots.
  • Prepare, organise, pack and coordinate samples for campaigns, photoshoots, and key company events, ensuring they meet brand standards.
  • Oversee the incoming and outgoing movement of samples, coordinating with couriers and internal teams.
  • Coordinate operational and logistical processes for special projects and requests.
  • Provide on-site sample support during styling and photoshoots when required, managing sample changes, locating additional styles, and resolving sample-related issues.
  • Manage rental loans and returns for Design teams as required, ensuring samples are tracked and returned within agreed timelines.
  • Ad hoc support to Collection Coordinator

  • Previous experience in a similar role advantageous
  • Strong organisation, written and verbal communication and coordination skills
  • Excellent attention to detail and reliability
