Freelance Sample Coordinator & Styling Assistant
We are looking for a Sample Coordinator to assist our London-based fashion studio. This position is perfect for candidates with excellent organisational skills and a strong interest in working in contemporary fashion. You will play a key role in ensuring the smooth movement of product samples across press, sales, and creative channels, while supporting the creative styling direction across e-commerce and campaign shoots.
Key Responsibilities
Sample Coordination & Product Movement
- Oversee all sample logistics, including press loans, returns, shoot movements, and event allocations.
- Maintain accurate sample records at all times using Launchmetrics and support regular stock takes.
- Proactively flag delays, missing samples or potential issues before they impact shoots, showroom appointments, or deadlines.
- Prepare shipments and track deliveries to key partners.

- Manage sample send-outs for preshoots and editorial needs for global retail partners including Net-A-Porter, Harrods, Luisaviaroma, Saks, MyTheresa, Bloomingdale’s, and others.
- Track deliveries to showrooms across the world.
Shoots and E-commerce
- On set support across e-commerce and lookbook shoots, assisting with fittings and model dressing on sets.
- Ensure all styling tools, props, and kits are organised and ready on set.
- Assist with shoot pulls, rail preparation, and post-shoot reconciliation to ensure all samples are returned to their correct location.
- Collaborate with photographers, art directors, and stylists to ensure visual consistency and excellence.
What We’re Looking For
- 1–2 years of experience in sample coordination, fashion styling, or similar role in a fashion, retail, or PR environment.
- Exceptional organisational skills with an ability to multitask and prioritise under pressure.
- Strong attention to detail.
- Proficiency in Google Sheets, Excel, and basic sample tracking systems.
- Proactive communication skills and a collaborative, solution-oriented mindset.
- A passion for fashion, detail, and visual presentation.
- Previous experience supporting on set is an advantage.
- Comfortable with the physical aspects of sample coordination, including packing boxes, organising rails, and moving product around the office.
