Job Description
We are now seeking a full-time Scheduler to join our dedicated team in our Ivybridge office. The successful candidate will play a key role in ensuring our ethos of delivering outstanding care is consistently upheld. This role involves planning and organising schedules that are both efficient and adaptable, meeting the needs of our growing client base while supporting the working requirements of our Care Professionals. You will work closely with the Registered Care Manager to ensure we continue to meet our business objectives and maintain the highest standards of service.
Qualifications
Our ideal candidate:
- Experience of working in a scheduling role within a home care provider, or other relevant environment
- Previous experience in the care industry as a caregiver, senior carer, or team leader role
- Good working knowledge of care management IT systems, and experience of Microsoft Office, with the ability to learn and adopt new technologies where appropriate
- Highly resilient and positive with excellent communication skills
- Excellent organisation and prioritisation skills with the ability to work calmly and accurately under pressure
- Team player with strong interpersonal skills with the ability to build rapport quickly
- Excellent attention to detail with the ability to multi-task
- Logical and analytical with the ability to work on your own initiative and meet deadlines

Key responsibilities:
- Ensure schedules are prepared, considering travel time, holidays, training, and last-minute cancellations
- Be responsive to changes in the schedule and liaise with relevant team members and clients
- Match Care Professionals to new clients in conjunction with client services team and arrange introductions
- Ensure client schedules are matched to their needs, with the same Care Professional and the same times each week, where possible
- Develop excellent relationships with both clients and Care Professionals so both can enjoy positive experiences
- Work with the recruitment team to ensure sufficient current and future staffing levels are met
- Work with the Care Team to ensure new and existing care packages can be resourced and scheduled on a timely basis
- Add and maintain all client and Care Professional information onto the electronic scheduling system
- Reconcile visits to ensure the smooth running of billing and adding expenses to clients’ invoices
- Carry out any other duties deemed necessary for the successful operation of the business
- Ensure compliance with Home Instead’s Equality, Diversity and Equal Opportunities Policy, in respect of employment and service delivery
- Visit clients when needed as part of on-call support
- Liaise with clients and their families to ensure we provide exceptional customer care
- Be part of our Evening and Weekend On-call working rota 1:5
