Titan Facilities Services Ltd provides commercial cleaning, specialist domestic cleaning and grounds maintenance for businesses, estates, and public sector sites across Berkshire, Surrey, and the wider South East. The company serves higher education institutions, residential blocks and estates, and commercial offices, delivering services through trained and vetted staff with consistent quality control at every site. Clients benefit from clear accountability, including a dedicated point of contact and transparent reporting for each contract. As the client base expands, Titan has the capacity to support broader facilities needs beyond its core services, offering established service and dependable delivery.
Role Description
The Scheduling & Client Coordinator is a part-time, fully remote role (10-20 hours per week to start), with a view to going full-time within 2-3 months as the business scales. Reporting directly to the Director, this is a genuinely entrepreneurial opportunity within a fast-growing company - for the right person, there's real scope for the role to grow into a wider operational position, taking on more client relationship/account management, and even sales.
- Immediate start available. You'll receive thorough onboarding and training directly from the Director, along with regular check-ins to keep you supported and connected, even while working remotely.
The coordinator is responsible for organizing daily schedules across commercial cleaning, specialist domestic jobs (end of tenancy, after-builders, Airbnb turnovers), and grounds maintenance across multiple client locations, managing bookings, allocating teams and resources, and updating schedules to ensure services are delivered on time and to agreed standards. The coordinator serves as the primary point of contact for both clients and operatives - handling client inquiries and resolving issues, while also being the first point of contact for our cleaning and grounds maintenance staff on scheduling, job queries, and day-to-day support.

- Day-to-day tasks include monitoring service performance, preparing basic reports, updating internal systems, and communicating daily with cleaning and grounds operatives to confirm jobs and resolve issues.
- The role also includes support with expense tracking and basic invoicing administration.
We're looking for a genuine self-starter - someone comfortable working autonomously, making decisions independently, and taking ownership of their area of the business. Our Hiring Process

Pay & Benefits
- £13-15 per hour, with some flexibility based on experience
- 28 days holiday (including 8 public holidays), pro-rated to hours worked

Qualifications
- Previous experience in the services industry (cleaning, facilities management, trades, or similar) - essential
- Comfortable working independently and making decisions without constant oversight - this is a genuinely autonomous role
- Strong customer service focus, with a commitment to the highest standard of client care
- Excellent communication skills, including clear written and verbal communication with clients, colleagues, and management
- Solid organizational skills, with the ability to manage multiple schedules, priorities, and deadlines in a fast-paced environment
- Comfortable using WhatsApp, Outlook, Excel, and PowerPoint, alongside scheduling and invoicing/expense management tools
- Comfortable with technology generally, with experience using AI tools such as Claude or ChatGPT a nice-to-have
- Own laptop and phone required, with reliable internet access
- Demonstrated reliability, attention to detail, and a proactive, problem-solving approach
