Scheduling Coordinator – Homecare

Salary

£29,000 per annum + £1,000 bonus

Location

Office-based, with occasional operational support duties

Are you highly organised, calm under pressure, and confident managing changing priorities?

We are looking for a proactive Scheduling Coordinator to join our client's team. You will play a key role in making sure every care visit is safely covered, carers receive clear and accurate rotas, and service users benefit from reliable, consistent support.

This is a busy and varied position requiring excellent communication, practical problem-solving, and the ability to keep several plates spinning at once. Previous experience within homecare or using care rostering software would be a strong advantage.

Responsibilities

  • Creating, maintaining, and publishing weekly care rotas
  • Ensuring all planned visits are allocated to appropriately trained care staff
  • Matching carers with service users based on skills, availability, location, and continuity
  • Responding quickly to sickness, emergencies, and last-minute rota changes
  • Updating schedules when new care packages begin or support requirements change
  • Keeping the rostering system accurate, current, and fully auditable
  • Planning efficient routes to reduce unnecessary travel and improve staff utilisation
  • Maintaining accurate records of availability, contracted hours, training, annual leave, and sickness
  • Identifying staffing or capacity concerns early and proposing practical solutions
  • Communicating rota details and changes clearly to care staff
  • Providing carers with accurate visit information, service user notes, and risk details
  • Building positive working relationships with carers and responding to scheduling queries
  • Supporting the mobilisation of new care packages
  • Participating in the shared on-call rota and providing out-of-hours support when required

Requirements

  • Excellent organisational and time-management skills
  • Experience in a scheduling / co-ordination role previously – all sectors considered
  • Strong communication and relationship-building skills and a practical and confident approach to problem-solving
  • Experience using electronic rostering, scheduling, or care-management software
  • The ability to remain calm and make sound decisions when circumstances change

Desirable

  • Previous experience within homecare, domiciliary care, or health and social care plus a good understanding of continuity of care
  • Knowledge of CQC requirements, safeguarding, and GDPR
  • Experience coordinating staff across multiple locations
