About the School

Amegreen Education is a group of independent SEND schools across West Berkshire. Our students require high levels of care, engagement, and support, and we are committed to providing a positive and supportive environment for both students and staff.

To support staff wellbeing and promote a healthy work-life balance, our working hours are 8:00am-4:00pm, Monday to Friday, with minimal additional responsibilities outside these hours. Each day includes briefings and debriefings, and staff are provided with a free cooked lunch.

We also offer a dedicated weekly afternoon for CPD, planning, and preparation when students are not on site.

Summary of Role

The postholder will provide efficient and professional administrative support to the Head of School and wider school team, helping to ensure the smooth and effective day-to-day running of the school.

The School Administrator will act as a key point of contact for parents/carers, staff, students, external professionals, and visitors, maintaining a welcoming, professional, and supportive school environment.

The role will involve maintaining accurate and confidential records relating to students, staff, and school operations, as well as supporting admissions, attendance, safer recruitment, compliance, purchasing, and general school administration.

Main Responsibilities

The postholder will work closely with the Head of School and wider multidisciplinary team to provide effective administrative support across the school. The successful candidate will need to manage competing priorities, maintain high levels of accuracy and confidentiality, and communicate professionally with a wide range of people.

The role will support the school's safeguarding and compliance requirements and contribute positively to the wider life and ethos of the school.

Job Description

This job description is based on the key areas identified by the Executive Headteacher and proprietors who acknowledge the importance of the role and who actively offer long-term support, encouragement, CPD, and realistic challenge to the successful candidate.

Key Responsibilities

  • Provide day-to-day administrative support to the Head of School and wider school team
  • Manage diaries, meetings, correspondence, and general school enquiries
  • Act as a professional first point of contact for telephone calls, emails, parents/carers, and visitors
  • Maintain accurate student and staff records and filing systems
  • Support admissions, attendance, and annual review processes
  • Assist with safer recruitment and pre-employment checks, including DBS and right to work documentation
  • Liaise with parents/carers, external professionals, and other stakeholders regarding routine administrative matters
  • Prepare letters, reports, meeting documentation, and other correspondence as required
  • Maintain appropriate visitor, safeguarding, and compliance records
  • Support purchasing, invoices, orders, and general school resources
  • Support health and safety administration and record keeping
  • Work collaboratively with teaching, pastoral, therapeutic, and leadership teams
  • Maintain confidentiality and comply with GDPR and data protection requirements
  • Contribute positively to the wider life and ethos of the school
  • Undertake other reasonable duties as directed by the Head of School

Essential

What We Are Looking For

  • Previous administrative or office-based experience
  • Excellent organisational and time management skills
  • Strong written and verbal communication skills
  • Excellent attention to detail and accuracy
  • Good IT skills, including Microsoft Office
  • Ability to manage competing priorities and work to deadlines
  • Ability to maintain accurate and confidential records
  • Understanding of safeguarding, confidentiality, and data protection
  • Ability to work independently and as part of a wider team
  • Calm, professional, and approachable manner
  • Commitment to safeguarding and promoting the welfare of children and young people

Desirable

  • Previous experience within a school, SEND, or education setting
  • Experience of admissions, attendance, or student administration
  • Experience supporting safer recruitment and compliance processes
  • Knowledge of SEND, EHCPs, or annual reviews
  • Experience working with children and young people with additional needs
  • Experience of purchasing, finance, or budget administration
  • Relevant administration qualification or equivalent experience
