Role Purpose

The SDDC Project Coordinator role will provide administrative and logistics support to SDDC’s global rollout process, notably around communications, project tracking, and reports. They will be responsible for documentation of project progress, changes to policies & processes, collection and dissemination of good practices, and maintenance of the SDDC page and library on the Plan’s website.

The post holder will provide further support by organizing meetings, maintaining notes, project activities, decisions, and outcomes; keeping track of deadlines and responsibilities; and ensuring all concerned staff are informed, ensuring tasks are conducted in a timely manner with high quality. They will support the coordination of project activities with Sponsorship Operations team, Regional Offices, Country Offices, field Sponsorship teams, and GH Teams.

Accountabilities

Project Administration & Reporting

  • Maintain project management artefacts such as workplans, milestone trackers, decision logs, action logs, dependency trackers, and risk/issue logs, ensuring information is current and easy to access.
  • Maintain and organize core SDDC project documentation, including meeting notes, presentations, status updates, guidance documents, trackers, reports, and reference materials.
  • Support the preparation and consolidation of project updates, governance papers, dashboards, and progress reports for internal stakeholders.
  • Ensure the SDDC documentation, including on Planet, SharePoint, and Teams, is up to date, well-organized, and maintained in line with best practices and relevant policies including Child protection, safeguarding, and Data Privacy.

Global Documentation & Knowledge Dissemination

  • Support learning and knowledge-sharing by collecting, documenting, and disseminating good practices, lessons learned, key decisions, success stories, and implementation insights from pilots and rollout activities.
  • Support the preparation of the SDDC system rollout including user guidance, operating procedures, rollout packs, internal reference documents, internal readiness materials, and country support materials.
  • Ensures that Plan International's global policies for Safeguarding Children and Young People and Gender Equality and Inclusion are fully embedded in accordance with the principles and requirements of the policy including relevant Implementation Standards and Guidelines as applicable to their area of responsibility. This includes, but is not limited to, ensuring staff and associates are aware of and understand their responsibilities under these policies and Plan International's Code of Conduct (CoC), their relevance to their area of work, and that concerns are reported and managed in accordance with the appropriate procedures.

Technical expertise, skills, and knowledge required

Essential

  • Experience supporting project coordination, reporting, timeline tracking, and documentation management.
  • Strong written and verbal communication skills, with the ability to communicate clearly and build effective working relationships with colleagues across countries and time zones.
  • Strong organizational and administrative skills, with the ability to manage multiple tasks and priorities and deliver to agreed deadlines.
  • High standards of accuracy and attention to detail.
  • Strong skills in capturing, organizing, maintaining, retrieving, and sharing information effectively using appropriate platforms and channels.
  • Experience using collaboration and documentation tools such as Microsoft Teams, SharePoint, Excel, PowerPoint, and web/intranet platforms.
  • Ability to prepare clear and well-structured meeting notes, reports, trackers, and project documentation.
  • Strong collaboration and interpersonal skills, with the ability to work effectively with people from different cultures and functions with integrity and professionalism.
  • Ability to work flexibly as part of a dynamic and fast-paced team.
  • Full working fluency in English. Additional languages, particularly French, desirable.

Desirable

  • Experience supporting global or multi-country projects, ideally involving system implementation, rollout, or change management.
  • Familiarity with project management disciplines, including workplanning, milestone tracking, risk and issue management, and action follow-up.
  • Experience maintaining internal knowledge hubs, intranet pages, or document repositories.
  • Awareness of data privacy, safeguarding, and information management requirements in an international NGO context.

Location

The location of this role can be flexible where Plan International has an office* that can employ on behalf of the Global Hub and you have the pre-existing right to work and live.
