Description
This is a 12-month fixed-term maternity cover position within our City GP6 General Practice team. The role will provide professional and proactive secretarial and administrative support to Partners, Directors, and Managers. Working closely with colleagues across the wider secretarial team, you will play a key role in supporting the smooth running of a busy, client-facing department, maintaining high standards of service, and contributing to a positive and collaborative team culture.
This is a fast-paced role that requires strong organizational skills, the ability to manage multiple priorities simultaneously, and the confidence to adapt to changing demands. The role involves handling confidential and sensitive information, requiring discretion, professionalism, and attention to detail at all times.
Key Responsibilities
- Managing diaries and scheduling meetings with room bookings
- Preparing, formatting, and proofreading proposals, presentations, and other client-facing documents
- Supporting client onboarding and Anti-Money Laundering (AML) processes, including preparing engagement letters, Forms 64-8, client set-up forms, and related documentation
- Drafting routine correspondence and letters for Partner review and approval
- Maintaining electronic and physical client records, including scanning, filing, and archiving documentation
- Assisting with billing processes and preparation of expense claims
- Scanning and filing client records/files, archiving where necessary
- Coordinating UK and international travel and accommodation arrangements
- Managing inboxes and correspondence, ensuring messages are relayed and actioned promptly
- Processing Partner expenses and supporting month-end administrative activities
- Providing general administrative support to the wider team as required

Skills, Knowledge, and Expertise
- Experience in a secretarial, administrative, or similar support role
- Advanced knowledge of Microsoft Office applications, including Word, Excel, Outlook, and PowerPoint
- Experience of producing and formatting professional documents, reports, tables, and spreadsheets to a high standard
- Excellent verbal and written communication skills
- Strong organizational skills, with the ability to manage multiple priorities and meet deadlines in a fast-paced environment
- Ability to build effective working relationships and collaborate with colleagues across the firm
- Proactive and self-motivated, with the ability to work independently and use initiative
- Flexible and adaptable, with a willingness to respond to changing business needs
- High level of accuracy and attention to detail, with the ability to handle confidential and sensitive information with discretion
- Client-focused, with a genuine interest in supporting excellent client service
- Strong team player who contributes positively to a collaborative working environment
- Experience of working within a professional services environment is desirable but not essential
