What difference will you make?
The Secretary Trustee will play an important role in helping IDGN remain well governed, organised and effective.
- By ensuring that Board meetings are well planned, decisions are accurately recorded and key governance processes are followed, you will help our trustees fulfil their responsibilities and make well-informed decisions about the charity's future.
- Your contribution will enable the Board to focus on strategic priorities, support our staff and volunteers effectively, and ensure that the charity continues to respond to the needs of older people in our community.
IDGN has been supporting older people for more than 50 years. Our services provide practical support, friendship and social connection, helping to reduce loneliness and isolation and enabling older people to live fulfilled lives in their communities.
As Secretary Trustee, your impact will therefore extend beyond the Board. By helping IDGN remain well run, accountable and sustainable, you will contribute to our ability to continue providing valued support to older people and their families now and in the future.
What are we looking for?
We are looking for a Secretary Trustee who is organised, reliable and able to work collaboratively with our Chair, fellow trustees and staff team.
The most important qualities are strong organisational and communication skills, attention to detail and the ability to keep clear and accurate records. You should be comfortable using email and electronic documents and able to take concise, accurate minutes that clearly record discussions, decisions and actions.

You will also need to be able to manage information appropriately, respect confidentiality and follow through on agreed actions. We are looking for someone who is dependable, approachable and comfortable contributing as part of a Board.
An interest in good governance and a willingness to understand the responsibilities of being a charity trustee are important. You do not need to be an expert in charity governance when you join us.
Previous experience of charity governance, being a trustee, or supporting a Board or committee would be desirable. Experience gained through administration, governance, business or another professional or voluntary setting could all be relevant.

What will you be doing?
As Secretary Trustee, you will play a key role in helping our Board of Trustees work effectively and ensuring that Ilkley & District Good Neighbours (IDGN) maintains good governance.

Working closely with the Chair, fellow trustees and our staff team, you will help ensure that Board meetings are well organised, decisions are accurately recorded and appropriate governance records and processes are maintained.
Your main responsibilities will include
- Working with the Chair to plan Board meetings and prepare agendas.
- Circulating agendas, reports and other papers to trustees ahead of meetings.
- Attending Board meetings every six weeks, taking clear and accurate minutes and circulating approved minutes.
- Helping to organise the Annual General Meeting (AGM) and preparing the necessary papers in line with our governing document.
- Coordinating preparation of the Annual Report with the Chair.
- Maintaining appropriate Board records and up-to-date trustee contact information.
- Helping to ensure that meetings, elections and other Board processes follow the requirements of our governing document.
- Dealing with Board correspondence or directing it to the appropriate person.
As a trustee, you will also contribute to the wider work of the Board, sharing responsibility with your fellow trustees for the governance and strategic oversight of IDGN.
You don't need to be an expert in charity governance when you join us. Previous experience of charity governance, committee or Board administration would be helpful, but it is not essential. We are particularly interested in someone who can bring strong organisational and communication skills, attention to detail and a willingness to contribute as part of a supportive Board.
The role is hybrid and flexible, typically requiring around 1–2 hours a week, alongside attendance at Board meetings in Ilkley every six weeks.
