About The Role:

SHIFT PATTERN - Thursday - Monday 20:00 - 06:00

About the Role

We are seeking a highly organised and proactive Security Admin to support our operational teams and ensure the effective delivery of security services across multiple contracts. This is a fast-paced role requiring strong attention to detail, excellent communication skills, and the ability to make informed decisions under pressure.

Working closely with Operations Managers, frontline security personnel, subcontractors, and the Operations Director, you will play a key role in maintaining service delivery standards, managing staffing requirements, and supporting out-of-hours operations.

Key Responsibilities

  • Schedule and deploy security personnel to ensure all contracted hours are covered accurately.
  • Maintain staffing levels across all contracts and respond quickly to operational changes.
  • Monitor out-of-hours activity and support the health, safety, and welfare of all deployed staff.
  • Ensure service delivery standards and key performance indicators (KPIs) are consistently achieved.
  • Maintain accurate records within the Smart Task system and other internal platforms.
  • Communicate operational updates and scheduling changes to security personnel.
  • Monitor bookings, check calls, attendance, and shift compliance, escalating any concerns where required.
  • Manage and escalate incidents, sickness, absenteeism, and operational issues in a timely manner.
  • Respond efficiently to client requests and last-minute changes.
  • Escalate client complaints to the appropriate management team and ensure prompt resolution.
  • Produce daily operational reports and hand over outstanding tasks to the relevant personnel.
  • Create ad hoc sites within company systems and complete associated assignment instructions and risk assessments.
  • Prepare cost models, business documentation, and administrative submissions as required.
  • Archive completed sites and maintain system accuracy.
  • Carry out payroll and billing reconciliations to ensure accurate pay and charge processes.

What We're Looking For

Essential Requirements

  • Valid SIA Licence.
  • Ability to pass or hold a valid DBS check.
  • Exceptional attendance and reliability.
  • Strong attention to detail and accuracy.
  • Excellent written and verbal communication skills.
  • Ability to work under pressure and meet tight deadlines.
  • Good working knowledge of Microsoft Office applications.
  • Strong organisational and problem-solving skills.
  • Professional and customer-focused approach.

Desirable

  • Previous experience within the security industry.
  • Experience in scheduling, workforce planning, or control room operations.
  • Knowledge of Smart Task or similar workforce management systems.

What Success Looks Like

As a Security Admin, you will ensure staffing requirements are met, operational systems remain accurate, and both clients and frontline teams receive excellent support. Your ability to manage competing priorities, communicate effectively, and maintain high standards of administration will be critical to the success of the role.

The duties listed above are not exhaustive and may be amended to meet business needs. The successful candidate will be expected to undertake responsibilities of a similar nature where required.

Reporting Structure

The Security Admin reports directly to the North, Midlands and K9 Operations Director.

Confidentiality

This role requires a high level of discretion and professionalism. The successful candidate will handle sensitive business and personnel information and must maintain strict confidentiality at all times.
