Security Administrator – 12-Month Fixed Term Contract

Salary: Up to £28,000

Hours: Monday to Friday, 08:30 – 17:00

Location: Gillingham, Kent

Contract: Full-time, 12-month fixed-term contract

Holiday: 25 days per annum, plus Bank Holidays

The Opportunity

We're working with a well-established and growing business within the security solutions sector to recruit a Security Administrator on a 12-month fixed-term contract, providing maternity cover.

Based in Gillingham, this is a varied and hands-on administrative role supporting the Security team. You'll work closely with senior members of the department, providing essential administrative, purchasing and finance support to ensure the smooth running of day-to-day operations.

This would suit an organised and proactive administrator who enjoys working in a busy environment, is confident managing multiple priorities and is keen to develop their experience within a professional and supportive team.

Key Responsibilities

Your Responsibilities Will Include

  • Setting up and maintaining job files using Simpro.
  • Raising purchase orders and liaising with suppliers to ensure parts are delivered on time.
  • Updating project workbooks, job records and associated documentation.
  • Preparing and processing invoices for small works.
  • Supporting purchase ledger activities, including recording and reconciling supplier invoices.
  • Producing and maintaining job sheets.
  • Managing returned goods and coordinating with suppliers to resolve issues.
  • Collecting and recording engineers' timesheets for payroll and invoicing purposes.
  • Monitoring stock levels and highlighting any discrepancies or requirements.
  • Logging new quotation requests and providing wider administrative support to the team.
  • Assisting with general departmental administration as required.

About You

We're looking for someone who is organised, reliable and comfortable working in a fast-paced office environment. You'll need to be able to manage a varied workload while maintaining a high level of accuracy.

You'll Ideally Have

  • Previous experience in an administrative or finance-focused position.
  • Strong IT skills, particularly in Excel, Word and Outlook.
  • Good written, verbal and numerical communication skills.
  • A professional and friendly telephone manner.
  • Excellent organisational and time-management skills.
  • The ability to prioritise multiple tasks and meet deadlines.
  • A proactive, positive attitude and willingness to learn.
  • The ability to work effectively both independently and as part of a wider team.
  • GCSEs in Maths and English at Grade C or above, or equivalent.

Previous experience within a technical, security, construction or fire-related environment would be advantageous, although not essential. An interest in developing your understanding of industry legislation, regulations and compliance would also be beneficial.
