About The Role

North Northamptonshire Council are currently looking to recruit a Senior Administration Assistant to join our busy team within the Registration Service.

This role consists of assisting with the development of new processes and procedures to improve the efficiency of the Registration Service and deliver outstanding services for the institution.

This role must have a good perception and understanding of the General Register Office, the Home Office, Finance and invoicing knowledge, relevant laws applicable to the service and understands the requirements in relation to Citizenship Ceremony enquiries and celebratory services.

The Registration Service has the statutory duty and responsibility in North Northamptonshire district to register life events such as births and deaths, and to take notices of marriage or civil partnership, book them with the approved venues and subsequently solemnise and register them.

What will you be doing?

The Main Principal Responsibilities Of The Role

  • Arranges the Citizenship ceremonies in line with the Home Office guidelines and internal processes and procedures.
  • Carries out Administration duties for Licensing of Approved venues for ceremonies for new and existing venues. Maintains an up-to-date list with expiry dates, that is placed on the website and takes responsibility of this process.
  • Assists the Superintendent Registrar and the Registration Managers with their performance of duties including processing timesheets, overtime payments, stats and collates the sickness returns.
  • Undertakes monthly payroll procedure for service staff in line with internal processes and attends regular training on these financial elements.
  • Undertakes finance tasks such as processing, raising, and filling invoicing related to celebratory services, credit notes, refunds, banking, and data inputting of invoices on spreadsheet following set organisational or service processes.
  • Undertakes telephone, email and word processing duties for Citizenship ceremonies, celebratory services and Registration service enquiries.
  • Undertakes duties on ordering stationery for the Central Admin team (CAT) and for the Registrars offices including citizenship / office stationery.
  • Supports the Internal systems and maintenance on MS Teams and related IT software, supports on the refund process using the internal payment system and maintenance on the internal booking system regarding Citizenship information.
  • Carries out such other duties associated with the administrative systems of the department as may be required. Ensure that all tasks undertaken are carried out in accordance with agreed quality systems and set processes.

About You

The successful candidate must have extensive knowledge with Microsoft Office Packages such as Word, Excel, Power Point and Outlook and use them on a regular basis. You would also require the ability to use work-based bespoke online booking systems (Zipporah).

The candidate must have very good communication skills, timekeeping and problem-solving abilities, finance and planning skills, a good team-player and experience in a fast-paced environment working under pressure.

This role also needs a good understanding of the relevant laws applicable to the service governed by the General Register Office and the Home Office and clear understanding of requirements in relation to the Registration service ceremonies.
