Glasgow – Hybrid Working

Permanent | Up to £30,000

An excellent opportunity has arisen for an experienced Executive Assistant / Legal PA to join a leading international law firm in Glasgow. Supporting Partners and fee earners, this is a broad role covering diary management, client relationships, billing, business development, and document support.

The position would suit a highly organised and proactive individual who enjoys taking ownership and delivering a high level of support within a busy professional environment.

Role

  • Manage complex diaries, travel arrangements, meetings, and key deadlines
  • Prepare meeting papers, correspondence, presentations, and client documentation
  • Act as a key contact for clients, handling non-legal queries and supporting reporting requirements
  • Support Partners with pitches, tenders, client presentations, and events
  • Assist with billing, WIP monitoring, and more complex financial arrangements
  • Coordinate matter opening, including engagement letters, conflicts, and AML checks
  • Produce and amend Word, Excel, and PowerPoint documents
  • Liaise with wider business services teams to resolve operational requirements
  • Delegate appropriate tasks and provide guidance to junior administrative colleagues

Candidate Requirements

  • At least 18 months' secretarial, PA, or administrative experience, ideally within legal or professional services
  • Experience supporting Partners, senior professionals, or a busy practice group
  • Strong diary management and organisational skills
  • Excellent Word, Excel, and PowerPoint capability
  • Confident and professional communication skills
  • Excellent attention to detail with the ability to prioritise competing deadlines
  • Proactive, adaptable, and comfortable taking ownership of tasks
