The Role:

Joining our Adults' Health & Care and Children's Services Records Management Team as a highly organised Senior Administrative Assistant, you’ll play a key role in supporting services that make a real difference to the lives of children, families and vulnerable adults across Hampshire.

Working at the heart of our records management service, you'll be responsible for maintaining confidential records, supporting colleagues with record retrieval and storage, and contributing to the smooth day-to-day operation of an essential service.

Our team is responsible for managing both paper and electronic records from Social Care Teams, Day Centres, and Residential, Nursing and Children's Homes, helping to maintain business efficiency and ensure compliance with legislative and regulatory requirements.

What you’ll do:

  • Process requests for paper records in a timely and efficient manner.
  • Receive, process and store incoming boxes of paper records, sometimes working at height using platform ladders.
  • Update and maintain computer systems to accurately record the movement of incoming and outgoing paper files.
  • Maintain a large A-Z filing system to ensure records are stored correctly and can be retrieved quickly.
  • Provide guidance and advice to colleagues on retrieving and depositing records.
  • Ensure paper records are labelled, indexed and filed accurately.
  • Support the overall operation of the Record Store and contribute to continuous improvement in record management processes.

What we’re looking for:

  • Experience of handling confidential and sensitive information, with an understanding of Data Protection and information governance principles.
  • Excellent organisational, time management and workload prioritisation skills, with the ability to adapt to changing priorities.
  • Strong attention to detail and accuracy when managing records and information.
  • A flexible, proactive approach and the ability to work effectively both independently and as part of a team.
  • Experience of using computerised systems to input, maintain and retrieve information.
  • Confidence in learning and using bespoke IT systems, alongside a good working knowledge of Microsoft Word, Excel and Outlook.
  • A good standard of education and a commitment to delivering a high-quality administrative service.
