Contract: Permanent - Full-Time 42.5h per week (including paid breaks)
Salary: £31,000 per annum

Duties & Responsibilities:
- Act as the first point of contact for all visitors to the Home, ensuring a warm and friendly welcome.
- Keep the reception area clean and tidy, ensuring no confidential material is left on display/ unattended.
- Answer incoming calls in a timely manner, redirecting such calls to the correct department or taking and forwarding messages to the intended recipient without delay.
- Forward calls to the home, (either by phone or in person) relating to potential admissions/ enquiries to the Centre Director immediately.
- Direct incoming mail and parcels to the named individual in line with the External Mail policy. Collect and arrange postage of external mail. Manage the internal mail system in line with the Internal Mail policy.
- Under the direction of the Centre Director, arrange meetings (internal and external), room bookings (including conference calls), including assisting in the coordination of staff meetings and staff appointments. This includes taking minutes and distributing them following sign-off and authorization from the meeting facilitator.
- Arrange couriers, transport bookings for Patients and Staff as requested by the Home's Senior Management Team.
- Monitor levels of stationery stock and order as required in line with policy.
- Manage the Uniform stock and issue uniforms to staff in line with policy, including managing staff locker keys and assisting in the production of staff ID badges.
- Perform general filing duties, including patient records, staff records, training records, certificates, supervision documents, etc.

Person Specification:
- Exposure and work history in a Health and Social Care Setting.
- Experience of working within a similar busy reception/ administrative role.
- Demonstrates effective communication, in multiple forms.
- Works constructively as part of a team and understands their roles and responsibilities in respect of this.
- Excellent communication, interpersonal skills.
- Good IT skills, and proficient in Microsoft Office (Word, Excel, and PowerPoint).

Location:
This role requires attending our Fairlie House - West Norwood and occasional travel to the other sites when required.
