Background

As a Senior Administrator you will be responsible for providing comprehensive administrative, reception, and contract support to ensure the smooth day-to-day running of the office and project operations. This role supports internal teams, site operations, and management while maintaining high standards of organisation, compliance, and communication.

This is a split role supporting two companies within the R G Carter Group: R G Carter Southern Ltd and Fyre Solutions Ltd.

Key Responsibilities

For R G Carter Southern Ltd

  • Answer and manage incoming calls professionally
  • Greet and assist visitors
  • Prepare refreshments for meetings, including senior management and external stakeholders
  • Book meeting rooms and coordinate meeting logistics
  • Conduct routine office health & safety checks, including fire alarms and safety equipment
  • Set up new projects on internal systems
  • Prepare site documentation including H&S packs, folders, and site materials
  • Manage and monitor project email inboxes
  • Upload and file project documentation within systems
  • Oversee drawing management (electronic and hard copies)
  • Maintain and update document registers
  • Issue weekly attestations communications
  • Support pre-contract and end-of-contract review administration
  • Visit sites when required to provide administrative support
  • Archive project documentation and manage site returns
  • Procure general office and project maintenance supplies
  • Maintain H&S noticeboards
  • Manage office supply ordering
  • Process office-related purchases

For Fyre Solutions Ltd

  • Administering project accounting system from receipt of instruction to final invoice payment
  • Assist in obtaining supplier and sub-contractor quotations
  • Raise supplier and sub-contract orders as directed by the team
  • Assist in collating, consolidation, issuing and tracking of technical submissions
  • Assist in producing and administering procurement schedules and order request forms
  • Management of incoming and outgoing documents and maintaining the filing structure
  • Department client debtor management
  • Document control for all drawings, specifications, reports, quotations, memorandums, letters, electronic mail and the like
  • Assist in producing, populating and updating programme of works using Asta power project

Key Skills & Knowledge

  • Strong organisational and administrative skills
  • Excellent communication and interpersonal abilities
  • Ability to manage multiple tasks and prioritise workload effectively, working under pressure
  • Attention to detail and accuracy in documentation
  • Proficiency in Microsoft Office and internal systems
  • Ability to work independently and as part of a team
  • Ideally worked within the construction industry
