Administrator - Ratings COO Group – London
The Administrator will provide proactive, high-quality administrative support to the London-based Ratings COO Group, working closely with COO Managers and the broader COO team. The role requires strong organisational skills, sound judgement, and a good understanding of departmental and company operations to help ensure effective, seamless support across the group. This position will report to the Executive Assistant, COO Office.
How You’ll Make An Impact
- Provide high-level administrative support across the department, becoming an integral member of the support team.
- Proactively manage complex calendars, coordinate on-site and virtual meetings, arrange travel, and prepare accurate expense reports in a timely manner.
- Demonstrate strong organization, sound judgement, and attention to detail while managing multiple priorities in a fast-paced environment with accuracy and timeliness.
- Serve as a central point of communication for the COO Group, ensuring clear and timely information flow between internal and external stakeholders.
- Prepare and compile presentations, reports, internal communications, and correspondence as required.
- Oversee office facilities responsibilities, including end-to-end logistics for meetings and events such as town halls, board meetings, and senior executive meetings.
- Liaise with Facilities and IT to ensure office equipment and workspaces are functional, well maintained, and up to date.
- Lead or support special projects and strategic initiatives by coordinating input from multiple sources, maintaining accurate records, and ensuring deliverables are completed on time and to a high standard.
- Identify and implement process improvements and practical solutions that enhance team efficiency, consistency, and effectiveness.
- Build and maintain strong business relationships with executives, managers, and peers locally and globally, while upholding business protocols and exercising discretion with confidential information.
- Develop and maintain a strong understanding of departmental and company operations to support informed decision-making and effective team support.
- Apply curiosity, initiative, and sound judgement to resolve day-to-day issues and identify appropriate solutions.

You May Be a Good Fit If
- Bring at least 5+ years’ experience in a similar administrative role, ideally supporting large or complex teams.
- Demonstrate intermediate to advanced proficiency in Microsoft Outlook, Word, Excel, and PowerPoint.
- Communicate clearly and professionally, with strong written, verbal, and interpersonal skills and the ability to engage effectively with stakeholders at all levels.
- Apply a strong command of business English, including grammar, spelling, punctuation, and professional correspondence standards.
- Manage multiple priorities with flexibility, accuracy, and sound judgement in a fast-paced, deadline-driven environment.
- Bring strong organisational skills and excellent attention to detail.
- Use practical IT knowledge to support basic troubleshooting and escalate technical issues appropriately when needed.
- Have experience using Concur or similar expense management systems.
