Overview
The Senior Administrator / PA will provide high-quality administrative, organisational and executive support to senior leaders and wider teams. The role requires a proactive, highly organised individual who can manage competing priorities, handle confidential information with discretion, and ensure the smooth running of day-to-day business activities.
About the Role
- Provide comprehensive administrative and executive support, including diary management, inbox support, travel arrangements and meeting coordination.
- Prioritise and manage complex schedules, resolving diary conflicts and ensuring senior leaders are well prepared for meetings and commitments.
- Prepare, format and proofread correspondence, reports, presentations, agendas, briefing papers and meeting packs.
- Coordinate meetings, events and visits, including room bookings, technology, catering, travel logistics and follow-up actions.
- Act as a professional point of contact for internal and external stakeholders, handling enquiries confidently and escalating matters where appropriate.
- Maintain effective filing systems, trackers and databases, ensuring information is accurate, accessible and handled in line with data protection requirements.
- Process expenses, purchase orders, invoices and other administrative requirements in accordance with company policies.
- Support small projects and cross-functional initiatives, helping to track progress, coordinate inputs and keep stakeholders informed.
- Manage office stationery, facilities requests and meeting room arrangements, ensuring the office environment is well organised, fully equipped and fit for purpose.
- Identify opportunities to improve administrative processes, ways of working and team efficiency.

About You
- Proven experience in a senior administrative, executive assistant, personal assistant or office coordination role.
- Excellent diary, inbox and meeting management skills, with the ability to prioritise effectively in a busy environment.
- Strong written and verbal communication skills, with a high level of accuracy and attention to detail.
- Confident user of Microsoft Office applications, including Outlook, Word, Excel, PowerPoint, Sharepoint and Teams.
- Experience preparing professional documents, reports, presentations and meeting materials.
- Ability to manage confidential and sensitive information with discretion and sound judgement.
- Strong organisational and time management skills, with the ability to work independently and anticipate needs.
- Experience coordinating travel, events, meetings or senior stakeholder activity would be advantageous.
- Professional, approachable and confident when dealing with colleagues and external contacts at all levels.
- Proactive and solutions-focused, with the ability to anticipate issues and take ownership of tasks.
- Calm under pressure and able to manage changing priorities with flexibility and resilience.
- Discreet, trustworthy and comfortable handling confidential information.
- Highly organised, dependable and committed to delivering work to a high standard.
- Collaborative team player who is willing to support others and contribute to a positive working environment.
