Job Title: Senior Brand and Artist Operations and Logistics Project Manager

Role Overview

As the Brand and Artist Operations and Logistics Project Manager, you are the operational backbone of our merchandise and experiential campaigns. You will be responsible for overseeing the end-to-end execution of large-scale merchandise projects for high-profile artists, with a specific focus on the operations and logistics of executing high-impact pop-up shops and experiences.

You will own the administrative frameworks, manage complex budgets, supplier networks, manage 3rd party relationships and drive cross-functional alignment. Your goal is to ensure that every physical merchandise project is delivered flawlessly, on time, and on budget, turning creative vision into commercial reality with second to none administration and communication to all stakeholders.

Key Responsibilities

End-to-End Campaign Execution

  • Project Ownership: Oversee the complete lifecycle of large-scale merchandise campaigns from the moment of final creative approval through to consumer delivery.
  • Pop-Up & Experiential Focus: Take the operational lead on bespoke physical pop-up shops (build-outs, staffing, POS systems)

Operations, Logistics & Administration

  • Administrative Frameworks: Build, maintain, and own all critical project documentation, including master administrative tracking sheets, critical paths, supplier setup and payments summaries supported by production, legal and finance. Take a lead on working with with department heads and monthly budget updates for finance teams.
  • Buying & Inventory: Create and manage accurate buying sheets. Oversee inventory management to ensure optimal stock levels across all sales channels, avoiding overstock or out-of-stock scenarios.
  • Global Logistics: Coordinate complex logistics, ensuring goods are shipped, tracked, and delivered seamlessly to global warehouses, physical retail partners, or pop-up locations.
  • Responsible for ensuring all suppliers and partners are contracted and setup.

Financial & Budget Management

  • Budget Tracking: Manage project budgets meticulously, tracking all production, freight, marketing, and operational costs.
  • Margin Control: Work closely with production and brand teams to ensure projects remain commercially viable and hit predefined margin and profitability targets.

Cross-Functional Leadership & Communication

  • Meeting Facilitation: Schedule and lead regular project status meetings, acting as the central hub of information for all internal stakeholders.
  • Stakeholder Alignment: Drive cross-functional collaboration, ensuring deadlines are met across Creative, Production, Brand Management, PR, Marketing, and E-commerce teams.
  • Troubleshooting: Act as the first line of defence for logistical or operational roadblocks, proactively solving problems before they impact the project timeline or consumer experience.

Requirements & Skills

  • Project Management Experience: Proven experience (typically 5+years) in project management or operations, ideally within merchandise, events, retail, fashion, or music.
  • Logistical Mastermind: A deep understanding of supply chain, inventory management, global shipping, and the specific operational needs of both physical pop-ups and e-commerce platforms.
  • Highly Analytical & Organized: Exceptional administrative skills with advanced proficiency in Excel/Google Sheets. You must love building spreadsheets, tracking data, and creating order out of chaos.
  • Financial Literacy: Strong ability to build, manage, and reconcile complex project budgets.
  • Collaborative Leader and Communicator: Excellent interpersonal skills with the ability to confidently run meetings, hold cross-functional teams accountable to deadlines, and communicate clearly under pressure.
  • Problem Solver: A cool-headed, proactive approach to resolving last-minute logistical hurdles in a fast-paced, high-stakes environment.
