Purpose of the Role
Reporting to the Head of IT, the Senior Business Systems Analyst will take responsibility for delivering assigned business systems, digital improvement and automation initiatives. The role combines business analysis, hands-on system configuration, process improvement, reporting and day-to-day engagement with technology vendors.
We are looking for someone who is naturally curious about how things work and has an eye for where technology, automation or a better process could make things simpler or more effective. You will work with colleagues to understand business problems and opportunities, identify practical solutions and progress agreed work through to implementation. You will be comfortable working independently within agreed priorities, keeping stakeholders informed and knowing when to seek input or escalate an issue.
Key Responsibilities
Business Systems & Analysis
- Work with stakeholders to understand business processes, pain points and opportunities to simplify, digitalise or improve ways of working.
- Gather and analyse requirements and translate business needs into clear system, process and reporting requirements.
- Assess solution options based on business value, effort, operational impact and risk, making clear recommendations where decisions are required.
- Build strong working relationships across the organisation, constructively challenging existing processes where a better approach is available.
- Build a strong working knowledge of assigned business applications, including their configuration, data, integrations and business use.
- Provide hands-on systems and operational support where required as part of a small, collaborative IT team.
- Maintain clear system, process and change documentation to support effective support and operational continuity.
Improvement, Automation & Delivery
- Lead assigned business systems improvement and automation initiatives from discovery and requirements through to implementation, adoption and benefits review.
- Plan and coordinate assigned initiatives, managing actions, dependencies, risks and stakeholder communication through to delivery.
- Configure and maintain business applications, workflows, forms and low-code/no-code automations.
- Investigate complex system and process issues, working directly with technology partners to identify root causes and implement sustainable solutions.
- Plan and coordinate system changes, including testing, user acceptance, implementation, communication and post-change review.
- Support the assessment, configuration and adoption of AI-enabled and automation tools as these capabilities develop across the organisation.
Vendor & IT Service Relationships
- Manage day-to-day relationships with assigned technology vendors and service providers.
- Coordinate the day-to-day performance of the outsourced IT support service, monitoring service levels, progressing escalations and identifying improvement actions.
- Support the assessment and selection of new systems and technology partners, including requirements definition, demonstrations, evaluation and procurement activity.
- Support financial administration for assigned systems and vendors, including purchase orders, invoice validation and budget tracking, flagging material variances as they arise.

Governance, Data & Controls
- Contribute to the development, review and maintenance of IT policies, procedures and supporting documentation, and support their communication and rollout across the organisation.
- Apply agreed IT governance, security and service management practices consistently across assigned systems and initiatives.
- Apply a good working knowledge of GDPR and data protection principles when supporting or implementing business systems and process changes.
- Ensure access, security, data protection, business continuity and operational risk requirements are considered as part of system changes and improvement initiatives, escalating concerns where appropriate.
- Identify opportunities to strengthen controls, documentation or ways of working and make recommendations to the Head of IT.
What We’re Looking For
Essential Experience
- Typically 3+ years’ experience in a Business Systems Analyst, Systems Analyst or similar technology-focused role.
- Demonstrable experience independently delivering business system, digital improvement or automation initiatives from requirements through to implementation.
- Hands-on experience configuring business applications, workflows or low-code/no-code solutions – this is not a requirements-only Business Analyst role.
- Experience working directly with third-party technology vendors or service providers to deliver change and resolve system issues.
- Strong business analysis and process improvement capability, including requirements gathering, process analysis and translating business needs into practical solutions.
- Strong stakeholder management, communication and organisational skills, with the ability to progress multiple priorities with appropriate escalation.
Technical Knowledge & Desirable Experience
- Strong working knowledge of Microsoft 365 and business productivity technologies.
- Experience with Microsoft Power Platform, Power BI, Dynamics 365, Copilot or comparable business systems is desirable.
- Experience developing operational reports or dashboards and using data to identify issues and improvement opportunities is desirable.
- Experience working with outsourced IT or managed service partners is desirable.
- Experience in healthcare, social care, regulated services or another operationally complex environment is advantageous.
- A practical understanding of GDPR, information security and good IT governance.
The Person
This role may suit an experienced Business Systems Analyst ready to take the next step, or an existing Senior Analyst who enjoys working in a hands-on, varied environment. You will be comfortable moving between understanding a business problem, working with stakeholders and vendors, and getting into the system to configure, test and implement the solution. You will bring initiative and sound judgement, while knowing when an issue requires wider input or escalation.
