The Department

Learning and Development

The Learning and Development team are responsible for legal, compliance and professional skills training.

Purpose of the role

This role offers the opportunity to be fully involved in a wide range of tasks, from providing administrative support, booking external courses through to scheduling training programmes and liaising with a variety of different training contacts, both internal and external.

Hours

  • Standard hours are 9:30am to 5:30pm with flexibility in accordance with the needs of the business.
  • Our current working from home policy allows for two days working from home, subject to business need. This policy is subject to change and does not form part of contractual terms.

Responsibilities

  • Providing administrative support in the organisation of training for all staff and partners and ensuring the smooth running of courses/events on the day. This includes compiling the intended audience list, booking rooms, sending calendar invitations, monitoring and chasing responses, preparing attendance registers and evaluation sheets, printing materials if required and liaising with other support functions (e.g. reception, catering and audio visual).
  • Preparing and sending out electronic and hardcopy evaluation requests, collating feedback and passing on comments to speakers in a timely fashion.
  • Sourcing, researching and booking external venues for courses. Organising bookings and payment for external skills training courses and sending confirmation emails/invitations.
  • Liaising with external training institutions and providers regarding training courses, curriculum information and schedules.
  • Being the point of contact for and co-ordinating well-being events including the Firm's cancer awareness workshops, resilience and mental health first aid sessions.
  • Co-ordinating, organising and helping create the materials for Development Centres and Away Days.
  • Providing administrative support for Trainee Solicitor programmes: scheduling their training and organising their 5-day induction, including close liaison with internal speakers and external consultants; and authorising holiday requests.
  • Providing administrative support for the NQ Associate induction programme twice a year: scheduling their training to avoid qualification leave, close liaison with internal speakers and external consultants, updating all programme spreadsheets and development records, and ensuring the accuracy of these.
  • Taking responsibility for the organising and running of specific firm-wide courses, such as the accounts induction.
  • Updating training documents and providing induction packs for new Trainees and Solicitor Apprentices.
  • Working closely with the team in scheduling the annual professional skills training programme involving both internal and external speakers.
  • Tracking training attendance by sending out electronic or hardcopy attendance registers, maintaining tracking spreadsheets by location and/or department and logging attendance/CPD hours in our learning management system (Litera CE Manager).
  • Maintaining records for various types of information including coaching spend, professional qualifications, L&D events, budget spend, documents and emails (including saving materials onto the Learning Management System and iManage).
  • Ensuring all invoices are submitted, authorised and paid on time; maintaining and reviewing the professional skills budget spreadsheet working closely with the Head of Learning & Development.
  • Ensuring all procurement documents are in place for all external training providers.
  • Working closely with the team to advertise and promote training through the use of internal communication channels.
  • Organising weekly team meetings and providing the agenda.
  • Taking responsibility daily for responding to telephone or email queries and escalating these as appropriate.
  • Being a point of contact for any training related queries from the business.
  • Providing HR with training information for individuals who are leaving the firm.
  • Proof-reading documents and assisting with the drafting of the Friday round-up email and professional skills calendar invitations.
  • Working on ad hoc learning and development projects as and when required.

Qualifications, Experience And Personal Attributes

  • Educated to at least ‘A’ Level standard or equivalent

Experience, Skills And Personal Attributes

  • Previous L&D and/or HR experience within a legal or professional skills environment.
  • Excellent organisational skills.
  • Strong written communication skills, maintaining a professional style of writing.
  • Strong oral communication skills, feeling confident in face-to-face conversations and picking up the phone.
  • Strong ability to pay attention to detail, check own work and maintain a high level of accuracy.
  • Personable, reliable and able to work as part of a team. Strong relationship-building skills.
  • Ability to be proactive and carry out duties with minimum supervision but also able to participate fully within a cohesive and supportive team environment.
  • Ability to multi-task and effectively engage with several projects/pieces of work at a time.
  • Enthusiastic and energetic approach. Self-motivated.
  • Strong attention to detail.
  • Ability to work under pressure.
  • Good knowledge of Microsoft office: Word; Excel; Powerpoint.
  • Experience working with databases and learning management systems. Knowledge of Litera CE Manager and Vinciworks would be advantageous.
  • Flexibility in accordance with the needs of the business in terms of hours and tasks. For example, there may be a need from time to time to arrive early to set up training rooms and/or leave late to tidy up after an event.
