Equans is looking for a Senior Document Controller to join our team. The role is based in our head office of Hatfield, you will also be required to attend sites across London and Home Counties on an ad hoc basis. This is a permanent, full-time role offering a competitive salary and comprehensive benefits package.
About the Role
The Senior Document Controller is responsible for leading the management of project documentation across multiple construction and refurbishment projects. This includes overseeing the implementation and compliance of document control processes, managing the Electronic Document Management System (EDMS), and mentoring junior document controllers. The role ensures the integrity, accessibility, and traceability of controlled documents while supporting design, commercial, and delivery teams to meet client and compliance requirements. The role requires strong leadership, communication, and technical capabilities.
Responsibilities
- Lead document control processes across multiple complex projects or programmes.
- Ensure consistent compliance with document management protocols, GDPR, ISO standards, and client contract requirements.
- Manage and administer EDMS platforms such as Viewpoint for Projects (4Projects), ensuring correct usage and access control.
- Ensuring integration of Golden Thread supporting information (e.g. Fieldview) into EDMS platform.
- Support the setup of document control systems and naming conventions at project initiation stages.
- Provide quality assurance checks on document submissions and transmittals.
- Oversee the collation and handover of O&M manuals, Health & Safety files, and other key project documentation.
- Produce and interpret document control reports for project leaders and stakeholders.
- Coordinate document reviews, approvals, and version control with internal and external stakeholders.
- Manage the secure archiving and retrieval of project documents in line with legal and company requirements.
- Liaise with subcontractors and design consultants to ensure document submissions are compliant and timely.
- Champion continuous improvement in document control processes and systems.
- Line manage or mentor Document Controllers, providing training and guidance as required.
- Supporting the Regional Information Manager with strategic initiatives and compliance audits.
- Leading/ chairing relevant forums in the absence of the Regional Information Manager.

Requirements
- Experince in document control within construction or engineering projects.
- Strong knowledge of Viewpoint for Projects (4Projects) EDMS platforms and Viewpoint Field View.
- Proven experience leading or mentoring junior Document Controllers.
- Ability to manage and improve document control processes at a project or program level.
- Knowledge of ISO 19650 standards and project handover documentation requirements.
- Excellent organisational and time management skills.
- Strong IT proficiency including MS Office Suite.
- Exceptional communication and stakeholder engagement skills.
- Experience with BIM documentation coordination.
- Working knowledge of commercial or contractual document processes.
- Driving license is preferred.
