About the Role
Blue Gem Holdings is a fast-paced, hands-on business in the high-growth flexible office market, with a strong culture and a high-performance ethos. The group is growing, with new buildings and a managed office offering being added alongside the serviced portfolio.
As we grow, the pace and demands on our leadership team grow with it. The Senior EA sits at the centre of the Executive Office, working alongside the CEO and Chief of Staff to keep the business organised, accountable and moving forward.
This is not a traditional assistant role. It is a senior, business-facing partnership with direct exposure to leadership decisions, governance, strategic projects and commercial engagement. It suits someone who brings structure, holds people to their commitments and communicates with confidence at every level of the business.
Why this role matters
The role exists so the CEO and Chief of Staff can focus on growth, not on chasing actions or organising meetings. It gives the leadership team the discipline and follow-through that a fast-growing business needs.
In practice, this means every decision is recorded, every action has an owner and a deadline, and nothing agreed at leadership level falls through the gaps.
What they will own
Governance and board discipline
- Working with the Chief of Staff to formalise and run the company's governance structure, including board, committee and leadership meeting cycles
- Preparing board and committee papers, agendas and pre-reads, circulated at least 24 hours before each Board meeting, including Management Accounts
- Attending key meetings, taking accurate minutes and keeping a clear record of decisions
- Supporting company secretarial responsibilities and corporate administration

Action tracking and accountability
- Owning a single action tracker for the C-suite, with an owner and deadline for every action
- Recording actions in meetings and driving follow-up across teams, so agreed actions are delivered on time
- Reporting progress to the Chief of Staff and flagging risks early
Strategic projects
- Leading and coordinating key initiatives on behalf of the Chief of Staff, from planning through to delivery
- Preparing meeting briefings, presentations and executive papers
Cross-division and stakeholder communication
- Acting as the trusted link between the Executive Office and every division of the business
- Supporting relationships with board members, directors and external advisers
- Communicating instructions and decisions clearly, with the confidence to challenge and chase where needed
Commercial and finance support
- Supporting the commercial and finance divisions when required, for example preparing figures for board packs, proposals or reports
- Bringing commercial awareness to the Executive Office, understanding how decisions affect performance and growth
AI and efficiency
- Driving the use of AI and technology across Executive Office processes, spotting opportunities to work faster and smarter, and utilising agentic tools to promote the AI strategy within the business
Executive support
- Managing priorities and commitments of the CEO and Chief of Staff
- Managing confidential communications and correspondence with complete discretion
- Supporting contracts, compliance documentation and executive administration
- Providing ad hoc support to other Directors, prioritised in agreement with the Chief of Staff

Skills and experience
Strongly preferred
- 5+ years' experience supporting founders, CEOs or C-suite executives
Desirable
- Experience in a fast-growing or entrepreneurial business
- A company secretarial, governance or board support background
- Experience in professional services, such as banking or consulting
Essential skills
- Exceptional organisational skills and meticulous attention to detail
- Outstanding written and verbal communication
- Strong commercial awareness and sound judgement
- Confidence managing multiple priorities and senior stakeholders
- Strong command of Microsoft 365, including Outlook, Excel, Word and Teams
- A genuine interest in AI and emerging technologies
Serviced office experience is not required. We will teach you the business; the organisation, communication and judgement must already be there.
