About the Role

Our Events Team is looking for an enthusiastic, organised, and proactive Senior Events Stand Coordinator on a 12 months fixed term contract.

The successful candidate will be responsible for overseeing the selling, planning, allocation and management of trade stands at Crufts and other events that we organise throughout the year.

Working closely with exhibitors, suppliers, and the wider Events Team, you'll oversee the planning and delivery of engaging exhibition spaces that provide an exceptional experience for exhibitors and visitors alike, while contributing to the continued success and reputation of our events.

What You'll Bring

  • An event management qualification or equivalent relevant experience.
  • Excellent organisational skills, with the ability to manage multiple priorities effectively.
  • Strong written and verbal communication skills, with the confidence to build positive relationships with exhibitors, suppliers, and colleagues.
  • Proficiency in Microsoft Office, particularly Outlook, Word, and Excel.
  • Experience working within an events venue or for an event organising company.
  • A good understanding of floor planning processes and relevant regulations.
  • Knowledge of event operations and the regulations required to deliver safe and successful events.
  • Sales experience, with the ability to identify and maximise commercial opportunities.
  • Experience using CRM systems to manage customer information and communications.
  • Experience using CAD software for floor plans or event layouts.
  • An IOSH Managing Events Safely certificate, or a willingness to obtain one.

What You'll Be Doing

  • Contributing to discussions with regards to budgets and forecasting.
  • Preparing application forms and supporting paperwork for stand exhibitors using the new trade stand portal system.
  • Preparing exhibitor manuals for all shows so they are in line with health and safety legislation and the venue E-guide regulations.
  • Liaising with external contractors and venue to ensure smooth deliveries of services.
  • Ensuring budget forecasts for income are met if not exceeded.
  • Execute layout plans and stand allocation.
  • Liaise with CAD office with regards to drawing up the plans from beginning of process and liaising closely on changes required as the show dates approach.
  • Collate health and safety documentation for stand approval process. Advising stand holders on health and safety regulations.
  • Liaising with the stand space approval company assessing and advising on stand designs and show permissions.
  • Prepare and proofread copy for show publications.
  • Collate and arrange for paperwork and passes to be sent to all parties.
  • Contributing to the new process of pass digitisation.
  • To keep related content on show websites updated.
  • To act as first point of contact for all trade exhibitors.
  • To assist with other events/conferences, where applicable.
