About Pardigme

Pardigme is building a social platform that helps people connect in real life through shared interests in the places they already visit. A Carry is content or experience someone chooses to share nearby. People can also declare what they are looking for and receive relevant responses from other people or participating businesses. We are assembling our core team for a planned retail activation in November and December 2026, with expansion into other everyday gathering places.

The role

We are hiring an experienced Executive and Personal Assistant to work directly with the founder as Pardigme prepares for its Christmas activation and develops international partnerships. You will own the calendar, inbox coordination, travel and day-to-day logistics, keeping meetings prepared and commitments moving. You should anticipate needs, make sound decisions within agreed authority and provide practical in-person support, freeing the founder to focus on product, hiring and commercial relationships.

Christmas 2026 priorities

Before launch, establish a reliable calendar, inbox workflow, stakeholder contact record and system for tracking meeting actions and commitments.

During November and December, coordinate partner meetings, international travel and practical logistics, resolving changes quickly and keeping everyone informed.

Build administrative routines that remain dependable as the team and partner network grow, with a concise daily view of priorities and outstanding decisions.

What you will own

  • Own a changing calendar across UK, European and APAC time zones, protecting focused work and preparation time and resolving scheduling conflicts.
  • Triage the inbox, handle routine correspondence within agreed authority, draft replies and surface urgent decisions with clear context.
  • Coordinate stakeholder meetings, prepare agendas and briefing materials, capture actions and maintain dependable follow-up with senior external contacts.
  • Arrange flights, hotels, transfers and itineraries; coordinate travel documentation, manage changes and keep plans accessible throughout each trip.
  • Maintain CRM contacts, executive commitments and organised versions of decks, proposals and meeting materials, with clear owners and deadlines.
  • Coordinate interviews, new-starter logistics, expenses, receipts, bookings and routine office administration as the team takes shape.
  • Provide practical personal support, including appointments, errands, deliveries, meal arrangements and meeting refreshments, within the agreed remit.
  • Provide regular in-person support and accompany the founder on business trips when agreed, coordinating logistics before and during engagements.
  • Run a concise daily priorities check, anticipate avoidable problems and route commercial, product and team decisions to the appropriate owner.

What you bring

  • Proven experience as an Executive Assistant or Executive and Personal Assistant supporting a founder, CEO or senior executive.
  • Excellent written and spoken English, with polished communication and confidence representing the founder to senior international stakeholders.
  • Strong experience managing complex calendars, international travel and high-volume correspondence, with close attention to detail.
  • Discretion with sensitive personal and commercial information, and sound judgement about when to act independently and when to escalate.
  • Reliable follow-through and confidence using Google Workspace, calendars, spreadsheets and CRM tools to keep information organised.
  • A practical, service-minded approach to executive and personal support, with the ability to stay composed when priorities change.

Useful experience

Early-stage company experience, international stakeholder coordination, event logistics, retail or creator partnerships, and additional languages relevant to our markets.
