Senior Executive Assistant - London

Salary: £37,204 plus London Weighting Allowance of £3,353

Position: Permanent, Full Time - 35 hours per week

About the Role

Prospect is seeking an experienced and highly organised Senior Executive Assistant to the General Secretary to provide trusted executive support at the heart of the union.

This is a pivotal role responsible for the administration and coordination of the General Secretary's Office, ensuring the effective management of priorities, communications, commitments, and governance responsibilities.

Working closely with the General Secretary and senior colleagues, you will help ensure the smooth running of the office and support Prospect's work representing members at the highest levels. You will be responsible for managing complex diaries and travel arrangements, coordinating key meetings and governance activities, overseeing correspondence and mailbox management, and supporting the delivery of events and official engagements.

The role requires excellent judgement, discretion, and professionalism, with the ability to handle sensitive and confidential information appropriately.

As a key point of contact for internal and external stakeholders, you will build effective working relationships across the organisation and beyond, ensuring a high standard of service and support. You will be proactive, adaptable, and solutions-focused, taking ownership of competing priorities and helping to ensure that the General Secretary is supported to operate effectively and efficiently.

This is an exciting opportunity for an experienced Executive Assistant looking to make a real impact.

Working directly with the General Secretary, you will gain unique insight into the leadership and governance of a major trade union while building relationships with senior stakeholders across the organisation and beyond. No two days are the same, making this an ideal role for someone who enjoys variety, responsibility, and working in a fast-paced environment where their contribution is highly valued.

Specific Requirements

Applicants should have:

  • Experience in:
    • Providing executive or senior-level administrative support.
    • Managing complex diaries, scheduling meetings, and coordinating travel arrangements.
    • Processing and administering expenses accurately and efficiently.
    • Working with senior stakeholders, senior managers, and external partners.
    • Handling highly confidential and sensitive information with discretion and professionalism.
    • Working within a trade union, membership organisation, or similar representative body is desirable.
    • Capturing, maintaining, and inputting detailed information and records with a high degree of accuracy.
    • Liaising directly with members, customers, or stakeholders and delivering excellent customer service.
    • Working proactively, managing competing priorities, and organising their own workload effectively.

Key skills:

  • A sound understanding of GDPR requirements and experience maintaining confidentiality and data security.
  • Excellent written and verbal communication skills, with the ability to communicate confidently at all levels.
  • Strong organisational and time-management skills, with the ability to prioritise work and meet deadlines in a fast-paced environment.
  • Strong IT skills, including proficiency in Microsoft Office applications, Microsoft Teams and Zoom, and the ability to learn new systems and digital platforms quickly.
  • Excellent team-working and interpersonal skills.
