SolarAid is a mission-driven charity working to combat poverty and climate change across Africa through clean, affordable solar energy. We're a small, ambitious team with big impact — and right now we're looking for someone brilliant to sit at the heart of it.

The Role

We're seeking a highly organised, proactive Senior Executive Assistant & Office Manager to provide high-level support to our Senior Management Team and keep our London office running like clockwork.

This is a genuinely pivotal role. You'll be a trusted right hand to senior leaders — managing complex diaries, sensitive communications and Board-level logistics — while also owning office operations, supplier relationships, IT coordination and key administrative systems. No two days will look the same, and you'll need excellent judgement, discretion, and the confidence to make decisions independently.

What You'll Be Doing

  • Executive support: complex diary and inbox management for the SMT, Board and committee meeting logistics, minute-taking, and coordinating our Trustee calendar
  • Office management: running a safe, professional and welcoming UK office, managing suppliers and landlords, overseeing budgets, insurance and health & safety
  • IT & systems: liaising with outsourced IT providers, managing procurement and assets, keeping our HR system (PeopleHR) accurate and up to date
  • Projects & events: flexible support across SMT-led initiatives and organisational events
  • Travel: arranging cost-effective UK and international travel for the team

What We're Looking For

  • Significant experience as a Senior EA, PA or Office Manager supporting senior leaders
  • A track record of managing complex diaries, competing priorities and confidential information with discretion
  • Experience supporting Board or senior management meetings, including agendas, papers and minutes
  • Confident with Microsoft 365 (Outlook, Teams, SharePoint)
  • Experience managing budgets, suppliers and procurement
  • A calm, proactive, solutions-focused approach — someone who spots what needs doing before being asked

It would be great, but isn't essential, if you also have:

  • Charity or not-for-profit experience
  • Experience working with international teams or offices
  • Familiarity with PeopleHR or similar HR systems
  • Comfort with design tools like Canva
