Role Overview

The Senior Facilities Coordinator supports the effective day-to-day operation of our London centres, helping to ensure buildings are safe, well-maintained, and provide a positive environment for staff, students, and visitors. The role coordinates facilities activities, liaises with contractors and landlords, maintains compliance records, and supports the delivery of maintenance and building-related projects.

Key Responsibilities

  • Coordinate day-to-day facilities activities across our London centres, ensuring issues are identified and addressed promptly.
  • Carry out and support routine building inspections and facilities checks, maintaining accurate records.
  • Act as a key contact for contractors, arranging access, scheduling visits, collecting documentation, and monitoring completion of works.
  • Maintain Planned Preventative Maintenance (PPM) schedules, service records, and related documentation.
  • Liaise with landlords and suppliers regarding maintenance requests, inspections, and building-related matters.
  • Order and manage facilities supplies, ensuring appropriate stock levels are maintained.
  • Log, track, and coordinate the resolution of reactive maintenance issues and classroom basic IT support requests.
  • Fault finding issues with AV (primarily projectors).
  • Support the delivery of office moves, refurbishments, and other facilities projects.
  • Room set up and layout checks and coordination.
  • Assist with health & safety processes, compliance checks, audits, risk assessments, and record keeping.
  • Provide guidance and support to colleagues on facilities procedures and reporting processes.
  • Any other duties as required.

Skills and Experience

  • Experience working in a facilities or workplace role.
  • Good understanding of building maintenance processes and contractor coordination.
  • Knowledge of health & safety and compliance requirements within a commercial environment.
  • AV / Technical knowledge.
  • Strong organisational skills with the ability to manage multiple priorities.
  • Excellent communication and stakeholder management skills.
  • Proactive, practical, and customer-focused approach to problem solving.
  • Competent in maintaining records, tracking actions, and using facilities management systems.
