The Opportunity
This role coordinates the delivery of day-to-day facilities services across the business, ensuring workplaces, buildings and support services are safe, compliant and operating effectively. You will support the smooth running of office environments and operational sites by managing maintenance activity, contractor relationships and workplace services in line with company standards.
Working within the Facilities & Health & Safety function, you will help ensure all premises are well maintained, compliant with health and safety requirements and fit for purpose. The role also plays a key part in managing supplier activity, supporting procurement processes and maintaining facilities systems and records to ensure operational continuity and compliance.
What you'll be doing:
- Coordinate day-to-day facilities operations including workplace services, maintenance activity and contractor support.
- Manage contractor relationships to ensure service standards and compliance requirements are met.
- Coordinate planned preventative maintenance schedules and reactive maintenance activities.
- Maintain facilities records, certifications and compliance documentation.
- Support procurement activity including raising purchase orders, receipting and invoice checks using Syteline.
- Manage facilities systems and processes including Net2 access control, ID badges, CCTV systems, Jira ticketing and facilities documentation.
- Support workplace experience activities including site presentation, housekeeping standards, kitchen areas, janitorial stock and visitor support.
- Coordinate starter and leaver facilities processes including access, equipment and workspace setup.
- Maintain facilities and health & safety documentation, policies and SharePoint content.
- Support health & safety compliance activity including risk assessments, RAMS review, near miss reporting and audit preparation.
- Deliver or support health & safety inductions and DSE assessments.
- Provide cover within the Facilities team and support additional projects as required.
- Carry out First Aider and Fire Warden responsibilities in line with company requirements.

Essential
- Experience working in a Facilities role supporting both hard and soft facilities management services.
- Experience coordinating facilities operations such as maintenance, workplace services or contractor activity.
- Experience managing supplier or contractor relationships.
- Experience supporting procurement processes including purchase orders and invoice processing.
- Experience working with health & safety processes including risk assessments, compliance documentation or incident reporting.
- Experience working with systems such as Syteline, Net2 and Jira.
- Experience working in a service delivery environment with operational responsibility.
Desirable
- IOSH qualification or equivalent health & safety training.
- Experience supporting workplace experience or office operations in a multi-site environment.
- Experience coordinating facilities compliance activity including audits or certification management.
- Full clean driving licence and willingness to travel within Europe.
Hours and Days:
Monday to Friday; 08:00 – 16:15
Hybrid Working:
This role follows a hybrid model, with 4 days per week based in the office. Flexibility will be required to support business needs, including additional office attendance where necessary. Some travel across Europe will be required.
Salary:
£35,000 - £40,000 GBP
