About Brainology
Brainology is a growing, Ofsted-registered education provider operating across two Birmingham centres, supporting over 150 students every week.
As we expand our tuition services and launch new programmes, including our 11+ Mock Test Centre, we're looking for an experienced, highly organised and proactive Senior Finance & Accounts Officer to take complete ownership of our finance operations.
This is not a basic bookkeeping or administrative position. We need someone who can manage student finances end-to-end, take control of outstanding payments, maintain accurate financial records and ensure our entire finance operation runs efficiently.
We want someone who takes ownership, solves problems and delivers results without needing to be chased.
Key Responsibilities
- Student Onboarding & Invoicing
- Manage all students handed over by our sales team following successful trials.
- Verify student details, funding arrangements, fees and start dates.
- Generate and issue accurate invoices promptly.
- Track payments from invoice issue through to receipt.
- Ensure no student begins paid sessions without confirmed payment or funding.
- Maintain accurate student finance records and CRM pipelines.
- Universal Credit & Childcare Funding
- Manage the full Universal Credit childcare invoicing process.
- Track parent assessment periods, submission deadlines and expected payment dates.
- Ensure parents receive invoices and clear instructions on time.
- Follow up to confirm parents have submitted the required evidence.
- Resolve delayed payments, missing submissions and funding discrepancies.
- Coordinate Childcare Grant payments and related administration.
- Ensure funding deadlines are never missed.
- Debt Recovery & Credit Control
- Take full ownership of outstanding student debt.
- Proactively contact parents to recover overdue balances.
- Manage repayment arrangements and resolve payment disputes.
- Investigate historical debt and establish clear recovery plans.
- Maintain a live debt recovery tracker showing balances, actions and deadlines.
- Work towards eliminating historical arrears and preventing new debt.
- Monthly Finance Operations
- Manage monthly invoicing across our entire active student base.
- Ensure invoices are issued accurately and on time.
- Reconcile payments against invoices and attendance.
- Track overdue balances and follow up consistently.
- Enforce payment deadlines and coordinate suspensions where required.
- Ensure no missed invoices, incorrect charges or untracked payments.
- Financial Reporting & Reconciliation
- Complete regular bank and payment reconciliations.
- Maintain accurate financial records across both centres.
- Produce weekly finance reports covering revenue collected, outstanding debt, expected payments and overdue invoices.
- Maintain clear cash-flow forecasts and financial visibility.
- Support bookkeeping and month-end reporting.
- Identify discrepancies and resolve them proactively.
- Systems & Process Improvement
- Maintain accurate finance pipelines within GoHighLevel and relevant finance systems.
- Manage payment reminders, alerts and follow-up tasks.
- Work closely with sales, administration and site management.
- Improve processes, reduce errors and strengthen financial controls.
- Support financial administration for new services, including our 11+ Mock Test Centre.

I’m in my final year doing Economics and I don’t know whether to apply for grad schemes now or do a masters first. What do you think?
Honest answer — it depends on where you want to end up. A lot of top grad schemes (Big 4, civil service, banking) don’t need a masters. Let’s look at the ones you’d be competitive for now, and we can decide if a masters actually adds anything.
Also worth knowing: most autumn 2026 applications are open now. Timing matters more than you think.

Grad scheme, placement, apprenticeship? Not sure what you want yet — that's fine. Your agent talks it through with you and turns "I have no idea" into a shortlist.
