About the role

The Senior Finance Manager plays a central role in Airmic's financial operations, owning the transactional accounting cycle end-to-end while driving the modernisation of finance processes. The role combines strong financial control with a forward-looking remit: producing monthly management reporting, improving systems and ways of working, and ensuring Airmic's finance function keeps pace with digital and AI-enabled tools. The Senior Finance Manager is expected to exercise judgement, work with a good degree of autonomy, and act as a trusted point of contact for finance matters across the organisation.

This role is evolving as the business continues to modernise and streamline its operations. The implementation of a new CRM and accounting platform, Xero, will significantly reduce manual administrative tasks through increased automation and improved processes. As a result, the role will transition with greater emphasis on financial reporting, process improvement and supporting the wider business.

Key Purpose

  • To support the Head of Finance in delivering effective financial administration and reporting within the scope of the responsibilities outlined below
  • To deliver accurate, timely and complete transactional accounting data in a methodical manner, working seamlessly with other members of the team
  • To maintain audit trails and ensure that all supporting documentation is available remotely
  • To prepare timely monthly income and expenditure as well as cash flow forecasts reporting to support budget monitoring and decision-making
  • To identify and implement opportunities to improve, automate and digitise finance processes, keeping the finance team's ways of working up to date with new technology and AI tools

Primary Responsibilities

Sales and Receipts

  • Validate and post or import sales data promptly and accurately to Sage 50 and create sales invoices in Sage 50 for income streams that are outside the CRM and events systems.
  • Monitor bank statements and payment gateway accounts, identifying customer payments, matching to sales invoices in Sage and updating source systems as required (CRM)
  • Maintain credit control records for allocated income streams, lead company credit chasing with the help from colleagues and/or follow up directly to ensure prompt payment
  • Complete customers’ supplier onboarding forms, register with supplier payments systems and upload Airmic sales invoices as required

Purchases and Payments

  • Collate purchase invoices and key payments to the online banking system and key monthly salary payments, maintaining confidentiality
  • Monitor Direct Debit and Standing Order payments, matching payments to purchase invoices
  • Investigate and resolve queries identified via the aged creditors report
  • Process employee expenses claims, including collating receipts to Dext, sifting personal from Airmic card payments, keying to Sage 50, and submitting for payment approval
  • Ensuring all Purchase Invoices are accurately entered to Dext and Sage 50 in a timely manner

Banking and Corporate Card

  • Perform the business current account reconciliation on Sage 50 within agreed timescales
  • Ensure credit card receipts are accurately uploaded by all team members to Dext in a timely manner and exported to Sage 50 by the month end deadline.

General Ledger

  • Adhere to the internal Sage coding guide when posting all transactions to nominal codes
  • Ensure correct coding of transactions for VAT and raise any unusual instances for review by the Head of Finance; recognise transactions that are subject to Irish VAT and post accordingly

Reporting

  • Prepare monthly income and expenditure reporting and other management information required
  • Provide analysis to support budget monitoring and highlight variances or trends of note
  • Prepare monthly cash flow forecasts and other investment reporting as required
  • When required present financial information to the Management team as well as the Board

Process Improvement and Technology

  • Proactively identify opportunities to streamline, automate and improve finance processes, reducing manual data entry and freeing up capacity for reporting and analysis
  • Support the implementation of new finance systems and technology (including the Xero migration and integration with the CRM and events platforms), contributing a "process improvement" perspective to system design and testing
  • Keep up to date with digital and AI tools relevant to finance administration and reporting, and recommend practical applications for the team

Other Responsibilities

  • Monitor one or more of Finance’s generic mailboxes and action requests and queries promptly
  • Lead the end of year accounts and audit with the support of the Head of Finance as well as responding to the all external Auditor’s requests
  • Any other duties as reasonably required, including assisting on site at the Annual Conference and other events

Airmic will be implementing Xero in Q1 2027, and you will be responsible for supporting its implementation, ensuring a smooth transition from Sage 50, and assisting with the system’s successful rollout.

The job holder will operate from the Airmic office in Marlow House, Lloyd’s Avenue, City of London. There is currently dispensation to work three days per week (minimum) in the Airmic office with the balance of the time working from home. Tuesday is currently a team “core” day in the office where we come together and organise a team lunch. There will be occasional travel within the UK, such as to venues for Airmic events, including the 3-day Airmic Annual Conference and Exhibition to be held in Liverpool in July 2027. It's a great and fun way to meet our partners and members!

About you

Qualifications and Experience

  • 5+ years’ experience in a Finance Manager, Senior Finance Manager or similar senior finance role
  • Proven experience reporting, budgeting, forecasting and monitoring financial controls
  • Strong technical accounting knowledge, with experience overseeing month-end and year-end processes
  • Demonstrated ability to manage high-priority, commercially sensitive and confidential financial matters with accuracy and discretion
  • Experience managing and developing finance processes, systems and controls to improve efficiency and support business growth
  • Strong analytical and problem-solving skills, with the ability to interpret financial information and provide clear, commercially focused insights to senior leadership
  • Experience working with senior stakeholders and providing financial guidance to support strategic and operational decision-making
  • Proficiency in Microsoft Excel and financial/accounting systems, with experience implementing or improving finance systems and processes

Please note that, Marlow House is an old building and the Airmic office is on a mezzanine level between the 2nd and 3rd floors accessible only via a short but steep flight of steps after exiting the lift.
