Job Summary
The Senior Groups & Events Executive is responsible for managing group bookings and event enquiries from initial contact through to successful delivery. The role focuses on maximizing revenue opportunities while providing exceptional customer service and ensuring seamless coordination between clients and hotel operational departments.
The successful candidate will handle corporate, leisure, conference, meetings, social, and special event bookings, maintain strong client relationships, and support the achievement of departmental sales and revenue targets.
Key Responsibilities
Sales & Revenue Management
- Handle group and event enquiries promptly and professionally.
- Identify opportunities to grow existing accounts and generate repeat business.
- Conduct client entertainment, networking, and external sales activities where appropriate.
- Support the hotel's overall business development strategy.
- Contribute to forecasting, budgeting, and monthly commercial reviews.
- Act as a departmental lead in the absence of the Senior Groups & Events Manager.
- Support onboarding and development of new team members.
- Drive best practice and continuous improvement initiatives across the department.
- Assist with performance coaching and training activities.
- Drive cross-selling opportunities across guest rooms, meeting space, catering, bar, and restaurant outlets.
- Prepare proposals, quotations, contracts, and event orders.
- Negotiate rates, packages, and terms in line with company guidelines.
- Upsell hotel services, accommodation, catering, meeting spaces, and additional event requirements.
- Maximize revenue opportunities and contribute to achieving departmental targets.
- Monitor booking pace and follow up on tentative business to secure confirmations.
Event Planning & Coordination
- Organize and coordinate meetings, conferences, banquets, and other special events.
- Conduct site inspections, food tastings, and client show-rounds.
- Liaise with clients to determine event requirements and expectations.
- Create detailed event briefs and communicate information accurately to operational departments.
- Ensure all event details are confirmed and documented before arrival.

Client Relationship Management
- Build and maintain strong relationships with corporate clients, agencies, event planners, and repeat customers.
- Act as the main point of contact throughout the booking process.
- Resolve client concerns and provide effective solutions.
- Conduct post-event follow-up to obtain feedback and identify future business opportunities.
Operational Coordination
- Work closely with Front Office, Food & Beverage, Kitchen, Housekeeping, Revenue Management, and Operations teams.
- Attend operational meetings and event handover meetings.
- Ensure all departments are informed of event requirements and changes.
- Monitor event delivery to ensure service standards are met.
Administration & Reporting
- Maintain accurate records within the hotel's sales and event management systems.
- Prepare reports as required.
- Ensure contracts, deposits, invoices, and payment schedules are processed correctly.
- Maintain compliance with company policies and brand standards.
Team Support
- Support and mentor Groups & Events Executives within the team.
- Share best practices and provide guidance on complex bookings.
- Assist the Senior Manager with departmental projects and training initiatives.
Skills & Qualifications
Essential
- Minimum 2–5 years' experience within hotel groups and events, conference and banqueting, or hospitality sales.
- Strong knowledge of event planning and hotel operations.
- Excellent communication and negotiation skills.
- Proven ability to manage multiple projects simultaneously.
- Strong organizational and time management skills.
- Commercial awareness and revenue-focused mindset.
- Proficiency in Microsoft Office and hotel sales systems (Opera, Salesforce, or similar).
Desirable
- Degree or diploma in Hospitality Management, Events Management, Business, or related field.
- Experience working within a branded hotel environment.
- Knowledge of revenue management principles.
