Role Purpose
The Senior HR Manager will provide high-quality, practical and values-led HR support across West London Mind, ensuring that managers and staff are supported through clear people processes, sound employment practice and a positive organisational culture.
The postholder will work closely with the Director of Finance, senior leaders and managers to support recruitment, employee relations, policy implementation, HR administration, learning and development, wellbeing, compliance and workforce reporting. The role has no direct line management responsibility but will provide expert advice, guidance and coordination across the organisation. An external HR organisation will provide additional support to West London Mind and the postholder in relation to complex HR matters, including more specialist employee relations, employment law and organisational change issues.
Key Responsibilities
HR Advice, Employee Relations and People Practice
- Provide clear, timely and practical HR advice to managers and staff on employment matters, policies, procedures and good people practice.
- Support managers with employee relations matters including absence, performance, conduct, capability, grievances, flexible working and wellbeing-related issues.
- Ensure HR processes are handled fairly, consistently, confidentially and in line with employment legislation, organisational policy and West London Mind’s values.
- Coach and support managers to develop confidence in applying HR policies and managing people issues effectively and compassionately.
- Maintain accurate records of HR advice and casework, ensuring appropriate documentation, confidentiality and follow-up actions, and liaise with the external HR organisation where additional specialist advice is required.
Recruitment, Onboarding and Workforce Administration
- Coordinate recruitment processes, including job descriptions, adverts, shortlisting support, interview arrangements, offer letters, contracts and safer recruitment checks.
- Ensure onboarding processes are effective, welcoming and compliant, including references, right to work checks, DBS processes, induction planning and probation tracking.
- Maintain accurate HR records, staff files and HR systems, ensuring data is up to date, secure and managed in line with data protection requirements.
- Prepare HR documentation including letters, contract variations, policy acknowledgements, probation correspondence and meeting notes where required.
- Work with finance colleagues to ensure accurate information is shared for payroll, contractual changes, starters, leavers and absence reporting.

Policy, Compliance and Safeguarding Culture
- Support the review, development and implementation of HR policies, procedures and guidance so they remain current, accessible and legally compliant.
- Ensure employment practices support equality, diversity, inclusion, safeguarding, safer recruitment, wellbeing and positive organisational culture.
- Maintain awareness of employment law developments and advise the Director of Finance and senior leaders on implications for policy and practice.
- Support organisational compliance with mandatory training, DBS requirements, right to work checks and other HR-related governance requirements.
Learning, Development, Wellbeing and Reporting
- Coordinate learning and development activity, including mandatory training, manager training, induction sessions and staff development records.
- Support staff wellbeing initiatives and contribute to a healthy, inclusive and psychologically safe working environment.
- Prepare HR reports and workforce information for the Director of Finance, senior leadership team and trustees as required.
- Use HR data and feedback to identify trends, risks, gaps and opportunities for improvement in people practice.
- Contribute to organisational change projects, culture development and staff engagement activity where HR input is required.
General
- To work within and promote all of West London Mind’s policies and procedures with particular attention to equal opportunities, data protection, safeguarding and health and safety requirements.

- To provide written reports and information as requested.
- To attend training and meetings as required, including regular team meetings and staff forums.

Person specification
Essential Experience
- Significant experience in a generalist HR role, ideally within a charity, health, social care, public sector or values-led organisation.
- Experience of advising managers and staff on HR policies, employee relations matters and employment processes.
- Experience of supporting casework relating to absence, performance, conduct, capability, grievance, probation and wellbeing.
- Experience of coordinating recruitment, onboarding, safer recruitment checks, contracts and HR administration.
- Experience of maintaining HR systems, staff records and workforce data accurately and confidentially.
- Experience of supporting policy review, implementation and compliance with HR-related processes.
- Experience of working collaboratively with senior leaders, managers and colleagues across different teams.

Essential Knowledge and Skills
- Strong working knowledge of UK employment law, HR policy and good people practice.
- Ability to provide balanced, practical and values-led HR advice, including in sensitive or complex situations.
- Excellent written communication skills, with the ability to produce clear HR documentation, reports, guidance and correspondence.
- Strong interpersonal skills, with the ability to build trust, maintain confidentiality and work constructively with managers and staff.
- Highly organised, with the ability to manage competing priorities, meet deadlines and maintain attention to detail.
- Confident using Microsoft Office, HR systems, spreadsheets and workforce data to support reporting and decision-making.
- Understanding of equality, diversity and inclusion, safeguarding, safer recruitment, data protection and staff wellbeing in the workplace.

Qualifications
- CIPD Level 5 qualification or equivalent relevant HR experience.
- Evidence of continuing professional development in HR, employment law, employee relations, equality and inclusion, safeguarding or organisational development.
- Training or knowledge in mental health awareness, trauma-informed practice, safer recruitment or data protection is desirable.
Desirable Experience
- Experience of working in a mental health, charity, health, social care, local authority or voluntary sector environment.
- Experience of supporting organisational change, restructuring, TUPE, consultation or workforce planning processes.
- Experience of producing HR metrics, workforce dashboards or reports for senior leadership or trustees.
- Experience of supporting wellbeing, staff engagement, culture development or learning and development initiatives.
- Experience of working across multiple sites, boroughs or hybrid working environments.
