Are you an experienced IFA Administrator looking to join a growing and professional wealth management business where your expertise will be recognised and valued?

We are seeking a Senior IFA Administrator to provide high-quality support to Financial Advisers and Paraplanners, ensuring the smooth delivery of client servicing, new business administration and ongoing investment and pension support. This is an excellent opportunity for someone with strong technical knowledge and extensive experience within the financial planning sector.

The Opportunity

As a Senior Administrator, you will play a key role in supporting advisers and clients while acting as a subject matter expert within the administration team. You will be responsible for managing a range of client servicing and new business activities, maintaining regulatory standards and helping drive operational excellence across the business.

This position would suit an organised and proactive individual who enjoys working in a collaborative environment and takes pride in delivering an exceptional client experience.

Key Responsibilities

Client & Adviser Support

  • Provide comprehensive administrative support to Financial Advisers and Paraplanners.
  • Prepare documentation and gather information ahead of client meetings.
  • Manage client enquiries and servicing requests through to resolution.
  • Draft client correspondence and complete supporting documentation.
  • Assist with onboarding new clients and maintaining accurate client records.
  • Handle inbound telephone enquiries professionally and efficiently.

New Business, Investments & Pensions Administration

  • Process new business applications and top-up investments across provider platforms.
  • Support pension and investment administration activities.
  • Manage Letters of Authority and liaise with providers to obtain client information.
  • Process fund switches, withdrawals and ad hoc income requests.
  • Produce fee expectations, invoices and related administration.

Ongoing Client Servicing

  • Coordinate annual reviews and prepare client review packs.
  • Arrange review meetings and track servicing activities.
  • Maintain accurate records on back-office systems.
  • Support advisers with report preparation and follow-up actions.

Team Support & Process Improvement

  • Prioritise workloads to meet deadlines and service standards.
  • Identify and escalate issues where appropriate.
  • Assist with platform migrations and operational projects.
  • Support and mentor junior administrative team members.
  • Contribute to process improvements and best practice initiatives.
  • Ensure compliance with regulatory requirements and data protection standards.

About You

To be successful in this role, you’ll ideally have:

  • Previous experience as an IFA Administrator, Senior Administrator or Financial Planning Administrator.
  • Strong knowledge of pensions, investments and financial planning administration.
  • Advanced working knowledge of Intelligent Office (Intelliflo Office).
  • Experience using provider platforms and processing new business.
  • Excellent organisational and prioritisation skills.
  • Strong attention to detail and commitment to accuracy.
  • Professional communication skills, both written and verbal.
  • A collaborative and proactive approach to work.
