About the Role
We’re looking for an experienced Senior IFA Administrator to join our team and play a key role in delivering the high-quality service our clients and advisers expect. This is a great opportunity for someone who already knows their way around IFA administration, enjoys taking ownership of cases and wants to broaden their skills and experience within a supportive and ambitious business. There is also scope for the role to develop towards paraplanning, including preparation of straightforward ongoing review reports where no new business or new advice is involved.
Responsibilities
- Managing a varied caseload of IFA administration from start to finish, taking ownership of actions and ensuring agreed Service Level Agreements are met.
- Building strong relationships with clients through professional, friendly and proactive communication by phone and email.
- Keeping clients and Financial Advisers updated on progress, outstanding requirements and next steps.
- Preparing and submitting provider and platform applications, particularly across pensions and investments.
- Managing Letters of Authority, including issuing authorities, obtaining signatures, liaising with providers and checking information received.
- Liaising with pension, investment, protection and other financial product providers to gather accurate and up-to-date information.
- Proactively chasing clients and providers for outstanding information and documentation.
- Booking client appointments and ensuring advisers have everything they need ahead of meetings.
- Maintaining accurate and comprehensive client records on Intelliflo.
- Supporting ongoing client reviews by gathering valuations and provider information and preparing supporting documentation.
- Where appropriate, preparing straightforward ongoing review reports where there is no new advice or new business involved.
- Ensuring documentation is accurate, complete and maintained to the required regulatory and audit standards.
- Working closely with advisers and colleagues across the business to keep the client journey running efficiently.

Qualifications
You’ll ideally have 3+ years’ experience within an IFA, financial planning or financial advice environment, with a strong understanding of the administration that sits behind delivering quality financial advice.
Required Skills
- Hands-on experience managing IFA administration cases independently from start to finish.
- Experience with pension and investment applications and working with providers and platforms.
- Confident managing Letters of Authority and gathering provider information.
- Comfortable communicating directly with clients and providers.
- Excellent attention to detail and takes pride in getting things right.
- Can manage multiple cases, priorities and deadlines without losing sight of the client.
- Is proactive and naturally chases outstanding information rather than waiting for someone else to do it.
- Experience using a financial services CRM; Intelliflo experience would be an advantage.
- Good working knowledge of pensions and investments, alongside an understanding of wider retail financial products.
- Knows when to use their own judgement and when a query needs to be escalated to a Financial Adviser or technical specialist.
- Works well independently but enjoys being part of a collaborative team.

Preferred Skills
- Relevant CII or equivalent qualifications are desirable, but not essential. We value practical experience and the right attitude just as highly, and we’re committed to supporting ongoing professional development.
Pay range and compensation package
- £30,000 – £35,000 salary, depending on experience
- 25 days’ annual leave + Bank Holidays, increasing by 1 day per year after 3 years’ service, up to 5 additional days
- 4pm finish every Friday
- Option to work 1 day from home per week upon successful completion of probation
