Salary: £30,000 – £35,000 depending on experience (flexibility above this for the right candidate)
Hours: Full time, 35 hours a week, Monday to Friday, 9am – 5pm (one-hour unpaid lunch)
Location: Office-based
About the business
Our client is a well-established, Hove-based wealth management practice with a small, close-knit team. They look after their clients' pensions and investments, and they're growing. This is a hands-on role supporting the advisers to deliver a first-class service, from onboarding new clients through to looking after the existing client bank, compliantly and with real care.
The role
It's a small business where everyone mucks in. This isn't a role for someone who needs a rigidly defined job description. You'll need to be adaptable, keen to learn, and comfortable with a role that flexes with whatever the day brings. It's a genuinely supportive, family-oriented employer that invests in its people; you'll be supported to become more knowledgeable and better qualified over time.
Day to day you'll be helping advisers deliver a first-class service to clients, from onboarding new investors to looking after the existing client bank. No two days look quite the same, and things can change within the hour, so the ability to reprioritise and keep moving is more important than a fixed routine.
What you'll be doing
- Liaising with clients and product providers by videocall, phone, secure platform, email and letter
- Answering calls and taking messages; diary and task management
- Producing client investment reports and preparing materials ahead of adviser meetings
- Processing new business applications (paper-based and online) and chasing cases through to completion
- Handling letters of authority and updating client details and instructions directly, escalating more complex matters to the adviser
- Researching fund performance and processing attitude-to-risk questionnaires
- Preparing illustrations, key features, and protection and annuity comparisons
- Producing cashflow model reports
- Supporting client meetings and preparing review and suitability letters
- Administering fund switches and portfolio rebalances
- Fee and commission reconciliation
- General office duties including scanning, filing, photocopying and preparing meeting rooms
- Administrative and occasional PA support to the adviser and paraplanner
- Producing mailshots (Mailchimp experience helpful)
- Attending company meetings and completing in-house training
- Pitching in on the odd bit of basic IT troubleshooting when needed, as it's a small team with no dedicated IT support

What we're looking for
Essential:
- Minimum of 3 years' direct IFA support administration experience (essential)
- Certificate level CII or CISI qualification, or actively working towards one
- Good working knowledge of pensions, investments and protection products
- Comfortable in a small, close-knit team where the day's priorities can shift quickly
- Self-starting and adaptable, happy to get stuck in beyond a fixed job description
- Conscientious, detail-focused and well organised, able to prioritise a varied workload
- Confident communicator, comfortable on the phone with clients and providers
- PC literate, competent with Word, Excel, PowerPoint and Outlook

Nice to have:
- Experience of Quilter and Aviva platforms
- Experience of Intelligent Office
- Experience of Assureweb and The Exchange
- Experience of CRM systems
- Basic PC troubleshooting know-how (printers, network connections, Windows reinstalls)
- Experience of group pension, death in service and income protection administration
- A genuine interest in investments and the markets

A practical note
There's no on-site parking, but there's paid parking on the street nearby and a pay multi-storey about four to five minutes' walk away, worth factoring in if you'd be driving in.
