The Company
We're Octopus Legacy: the estate planning arm of Octopus Group, one of the UK's most trusted financial services brands, and part of a mission to change how people plan for death and support each other after loss.
Our legal services arm, Octopus Legal Services Limited, is SRA regulated and growing fast: wills, LPAs, trusts, probate and Court of Protection work for thousands of families, including around 1,200 active probate matters since our acquisition of NewLaw's private client business.
This role is the key hire into our new client accounts and compliance team, and the hands-on engine room of how client money moves through the business.
The Role
You'll own the day to day cash room: processing transactions, reconciling accounts, and making sure every pound of client money is exactly where it should be. Alongside that, you'll take on the frontline compliance checks that keep us right against the SRA Accounts Rules: transaction reviews, case audits and flagging anything that doesn't look right.
You'll report into our Client Accounts & Compliance Lead as part of a small, focused team. It's a lean setup by design, so you'll have real ownership of the ledger rather than a slice of it, with room to grow as the team scales.
You'll also be a key voice in our new case management platform build. Your day to day experience of the ledger and where issues tend to crop up will directly shape how the system is designed.
Key Responsibilities
- Process daily client and office account transactions in line with SRA Accounts Rules
- Process BACS, Faster Payments, CHAPS and international payments via HSBCnet
- Manage receipts, payments, completion transactions and matter level ledger postings
- Process client to client, matter to matter, client to business and disbursement transfers
- Raise, post, distribute and bank cheques, and reconcile out of date cheques
- Calculate client interest in line with firm policy
- Run daily client account bank reconciliations, investigating and resolving discrepancies
- Carry out transaction reviews and case audits, flagging potential SRA Accounts Rules issues early
- Manage disbursement ledgers and flag discrepancies, including HMCTS, Land Registry and HMRC IHT
- Support fee earners with billing and bill transfers
- Work closely with the Client Accounts & Compliance Lead to keep the ledger audit ready at all times
- Feed practical, day to day cashiering and compliance insight into the case management platform build

Who Are You?
- Demonstrable legal cashiering experience in a UK law firm
- Strong working knowledge of the SRA Accounts Rules, with a genuine instinct for spotting compliance issues
- Confident processing payments across BACS, Faster Payments, CHAPS and international transfers
- Sharp attention to detail and comfortable owning a ledger end to end
- Calm under pressure, a self starter, comfortable in a small team without layers of process around you
- Bonus: probate, private client or trust accounting experience
- Bonus: experience with Proclaim, Actionstep or other legal case management systems

Our finance function sits at the heart of that: it's how we manage client money safely, stay right with the SRA, and give leadership what they need to grow the business responsibly.
