SENIOR LEGAL SECRETARY (BILINGUAL ITALIAN/ENGLISH) - CITY OF LONDON

Salary: Up to £70,000

Location: London

Hours: 9.30am - 5.30pm (flexibility required during busy periods)

ABOUT THE ROLE

A top law firm is seeking an experienced Senior Legal Secretary to join its Secretarial Services team in London. This is a bilingual position requiring fluency in both Italian and English, supporting partners, counsel, associates and trainee solicitors within a fast-paced international environment. The successful Senior Legal Secretary will report to the Manager of Secretarial Services and work closely with fellow secretaries and business support professionals.

KEY RESPONSIBILITIES

As Senior Legal Secretary, you will:

  • Actively manage fee-earners' diaries, exercising sound judgment on priorities, urgency and conflicting appointments
  • Amend and format documents, spreadsheets and presentations, proofreading to ensure a consistently high standard
  • Proactively manage fee-earners' and your own inbox, ensuring client and matter-related emails are actioned and filed in iManage promptly
  • Manage the billing process in coordination with the Finance team
  • Proactively manage the opening of new clients and matters, including conflict checks and drafting or amending engagement letters
  • Arrange complex travel and prepare detailed itineraries
  • Manage fee-earners' contacts and keep InterAction records up to date
  • Maintain the efficiency and accuracy of the firm's electronic and hard copy filing systems
  • Input timesheets onto Intapp Time when required by fee-earners
  • Answer telephone calls promptly and professionally, taking full messages and following up as needed, and monitor voicemail in fee-earners' absence
  • Complete and submit expense forms using the correct client or office charge codes
  • Undertake administrative tasks including coordinating the online closing binder process, typing, photocopying, binding, scanning, filing and preparing weekly submissions for the internal European BD Weekly Update report
  • Build and maintain professional relationships with fee-earners, clients and client-side counterparts
  • Anticipate the needs of internal and external clients, adding value through consistently excellent service
  • Sort and process incoming and outgoing mail

  • Fluency in reading, writing and speaking both Italian and English
  • At least five years' experience supporting at partner level or equivalent within a corporate, legal or banking environment
  • Strong proficiency across MS Office (Word, Excel, PowerPoint and Outlook)
  • Excellent written and verbal communication skills
  • A sharp eye for detail and consistency
  • Strong organisational skills and the ability to multi-task effectively
  • A positive, professional attitude and the ability to remain calm under pressure
  • Sound judgement, initiative and the ability to prioritise competing demands
  • A collaborative, approachable manner that supports team spirit within the group and across the wider firm
  • Willingness to work flexibly to meet client needs, including assisting colleagues and delegating where appropriate
  • A professional demeanour suited to an international law firm environment
