Austability Ltd, part of the Austability Group portfolio of defence and national security contracting companies, is seeking a highly organised and proactive Senior Operations Support Specialist to become an integral part of our Operations team.

Operating across Five Eyes nations and trusted partner countries, Austability supports government, defence, and security clients in some of the world's most highly regulated environments. We are looking for an individual who thrives on keeping organisations running efficiently, enjoys working across multiple business functions, and takes pride in delivering excellence behind the scenes.

This is a varied and rewarding role where no two weeks are the same. You will play a critical part in supporting office operations, executive administration, compliance activities, and talent management initiatives that enable the business to operate effectively and securely.

Location: Fulham, London

Salary: £35,000 - £42,000 per annum

Type: Full-Time, Permanent

The Role

Reporting to the Director of Operations, you will be responsible for the day-to-day coordination and administration of the Austability office while providing support across the Chief of Staff's Office, Risk & Compliance, and Talent Acquisition & Management functions.

This position is ideal for a professional who can seamlessly balance office management, compliance administration, project coordination, and HR support while maintaining exceptional attention to detail and discretion.

Key Responsibilities

Office Operations

  • Manage daily office operations, including facilities, supplies, maintenance contractors, building access, security fobs, and postal services.
  • Maintain and update the office operations manual.
  • Act as the first point of contact for visitors, clients, and incoming telephone enquiries.
  • Coordinate meeting logistics, room bookings, and corporate travel arrangements.

Executive & Administrative Support

  • Provide administrative support to the Chief of Staff and wider leadership team as required.
  • Organise meetings and prepare agendas, minutes, action logs, and follow-up actions.
  • Monitor outstanding actions and support timely completion across functions.

Risk & Compliance Support

  • Coordinate Risk & Compliance training programmes, including scheduling, communications, materials preparation, and reporting.
  • Support D365 vendor onboarding activities.
  • Assist with data administration and validation within Diligent Entities.
  • Liaise with subsidiary offices to resolve information gaps and maintain accurate organisational records.
  • Serve as the ISO Document Controller, managing document libraries and document control processes.
  • Support annual document reviews and ongoing maintenance of ISMS.Online.

Talent Acquisition & Management Support

  • Support HRIS administration and data maintenance.
  • Assist with compliance-related HR activities and employee record management.
  • Coordinate administrative tasks associated with Talent Acquisition & Management projects.
  • Support the rollout and administration of the Annual Employee Engagement Survey.

About You

You are a highly organised professional who enjoys creating structure, managing multiple priorities, and ensuring nothing falls through the cracks. You take ownership of your work, communicate effectively with a wide variety of stakeholders, and maintain the highest standards of confidentiality.

Essential Experience

  • Minimum 2 years' experience in office management, executive support, operations administration, or a similar role.
  • Experience coordinating multiple stakeholders and priorities simultaneously.
  • Strong organisational and administrative skills with excellent attention to detail.
  • Ability to work independently and use sound judgement when handling sensitive matters.

Desirable Experience

  • Experience supporting compliance, governance, risk, HR, or document control functions.
  • Familiarity with ERP, HRIS, or document management systems.
  • Experience with Microsoft Dynamics 365 (D365).
  • Exposure to ISO-based management systems or regulated industries.
