Role Description
The Senior Operations Administrator is a full-time, on-site role based in Ipswich, responsible for supporting the smooth running of daily logistics and administrative operations.
This role is responsible for coordinating import and export shipments across road, sea, and air freight networks, ensuring the timely and efficient delivery of goods through close liaison with carriers, customs agents, suppliers, and customers. Key responsibilities include:
- Tracking shipments and proactively resolving transport delays or issues
- Ensuring compliance with customs regulations, HMRC requirements, and international trade procedures
- Obtaining freight quotations while negotiating competitive rates with service providers
- Overseeing the accurate processing of goods received, stock movements, and dispatch documentation
- Maintaining inventory records within the Warehouse Management System and investigating stock discrepancies or administrative errors
- Building and maintaining strong relationships with customers and suppliers
- Promoting a positive and collaborative working environment
- Supporting and motivating the team through effective operational and warehouse planning

The Senior Operations Administrator collaborates closely with operations managers, drivers, and customer service colleagues, proactively resolving issues and contributing to continuous improvement across the supply chain.

Qualifications
- Strong Operations Management and Administrative Assistance skills to support complex logistics workflows and maintain accurate records.
- Solid Analytical Skills to interpret operational data, identify trends, and recommend practical improvements.
- Effective Communication skills to collaborate with internal teams, external partners, and customers in a clear and professional manner.
- Reliable Customer Service skills to manage queries, resolve issues, and maintain high service standards.
- Relevant experience in logistics, transport, or supply chain environments; familiarity with scheduling and warehouse or fleet management systems is advantageous.
- Strong organizational skills, attention to detail, and the ability to prioritize multiple tasks in a fast-paced operations setting.
- Proficiency with standard office software and data-entry tools; experience with logistics or ERP systems is beneficial.
- Relevant vocational training or a qualification in business, logistics, or a related field is preferred, or equivalent practical experience.
- Previous experience in a warehouse administration or logistics/freight forwarding role.
- Strong knowledge of warehouse and stock control processes.
- Strong knowledge of import/export procedures and shipping documentation.
- Excellent organizational and problem-solving skills.
