We are looking for an exceptional Senior Personal Assistant to support C-suite executive team across a portfolio of ambitious, fast-growth international ventures spanning AI and technology, infrastructure, real estate and investment.
Based in our Weybridge office, with hybrid working (minimum three days per week in the office), this is an opportunity for a highly capable and ambitious PA who wants to become a genuine right hand to the executive team and, over time, progress into a broader Executive Assistant role as the businesses scale.
A significant part of the role will support the leadership team behind a rapidly developing European AI venture focused on building the infrastructure, partnerships and highly skilled talent required to accelerate AI capability and adoption across Europe.
Alongside this, you will gain exposure to a wider family office portfolio encompassing international real estate, infrastructure and investment projects.
These are entrepreneurial, fast-moving businesses operating across multiple markets and jurisdictions. Priorities can change quickly, opportunities emerge at pace and everyone — including the senior leadership team - is expected to roll up their sleeves and get things done.
We are therefore looking for much more than someone who simply manages diaries and responds to requests.
We want someone with that instinctive “right-hand” quality: someone who thinks ahead, understands priorities, anticipates what is needed, takes ownership and closes loops. Someone who can bring order to complexity and remain calm, precise and solutions-focused in a fast-paced, high-pressure environment.
The role
Working closely with the CEO, COO, CMCO and wider senior leadership team, you will provide first-class day-to-day support while becoming a trusted and proactive extension of the executive team.
Key responsibilities will include:
- Managing complex and frequently changing diaries, meetings and competing priorities across the C-suite
- Managing and prioritising executive inboxes and correspondence, acting as an effective gatekeeper where required
- Coordinating UK and international travel, including detailed itineraries, accommodation and logistics
- Preparing high-quality meeting materials, briefing notes, presentations and executive documents
- Coordinating meetings, agendas and action points, and proactively following up to ensure commitments are delivered
- Acting as a polished and trusted point of contact for senior internal and external stakeholders, including Board members, investors, strategic and academic partners, government and institutional contacts, professional advisers and other senior business relationships
- Understanding executive and business priorities and using sound judgement to determine what requires attention and when
- Tracking projects, deadlines, decisions and follow-ups, ensuring nothing falls through the cracks
- Anticipating requirements, identifying potential issues and helping resolve them before they become problems
- Taking genuine ownership of tasks from instruction through to completion
- Supporting coordination across multiple businesses, projects and jurisdictions
- Supporting business events, executive meetings and international activity as required
- Managing expenses and other day-to-day executive administration
- Providing administrative support for recruitment activity across the UK and international markets, including coordinating applications, liaising with HR and hiring managers, and arranging interviews as required.
- Providing occasional support across social media, marketing and communications activity
- Handling confidential and commercially sensitive information with absolute discretion
- Stepping into whatever needs doing to help the executive team and wider businesses operate effectively

The position is hybrid, with a minimum of three days per week based in Weybridge, alongside travel to our Luxembourg office and occasional wider international travel. Given the nature and pace of the businesses, flexibility will be important.
About you
You will already have strong PA experience, ideally supporting C-suite executives, founders, entrepreneurs or senior leadership teams, and be ready for a role offering greater exposure, autonomy and responsibility.
You don't need to arrive as the finished EA. But you do need the intelligence, judgement, drive and mindset to become one.
You will be:

- Highly capable of managing multiple and sometimes competing priorities without losing sight of the detail
- An excellent written and verbal communicator
- Polished, personable and confident dealing with senior-level stakeholders
- Completely trustworthy and discreet with confidential information
- Adaptable and resourceful, with the ability to operate effectively in a start-up environment where structures, priorities and responsibilities will continue to evolve
- Flexible around travel and changing business requirements
- Someone with a genuine “no task too big or too small” mentality
- Ambitious, energetic and excited by the opportunity to grow with the businesses

Digital skills
You will be highly proficient in Microsoft Office, particularly Outlook, Word, PowerPoint and Excel, and confident using digital tools to work efficiently and stay organised.
Experience with Canva is highly desirable, particularly given the opportunity to support occasional social media, presentation and communications activity.
Familiarity with Gamma and Mailchimp would be advantageous but is not essential.
Given the nature of our core technology business, we are also looking for someone who is curious about AI and comfortable embracing new technology, tools and ways of working.
Experience within an international business, family/private office, investment, real estate, infrastructure, technology or another entrepreneurial environment would be advantageous, but is not essential.
