Job Description

Enterprise Project Management – Program Management Office (PMO)

Primary responsibility to lead and manage a Program Management Office (PMO). Will work in collaboration with the Enterprise Project Management leads, procurement, finance, design, security, consultants, and external partners to lead a spectrum of programs across the organisation driving process innovation, implementation of best practices, and improved performance of the teams in program and project delivery.

Responsibilities

  • Provide program and project execution oversight, ensuring project delivery compliance and adherence to processes and tools (inc. Chronos).
  • Facilitate all capital meetings, such as project updates, regional update meetings; coordinate document meeting minutes and actions; manage issues, risks, decisions, and manage project pipeline, as required.
  • Drive process improvement initiatives for capital through targeted workshops/lessons learned, prioritise, and deliver initiatives, oversee, and integrate process and procedures within project plans to drive successful change efforts/training efforts as part of continuous improvements.
  • Coordinate with internal pillars, key stakeholders strategic sourcing, finance, IT, network, Audio Visual and security to align and support overall project delivery expectations.
  • Support the conceptualisation, development, and design of content through preparation of materials and will facilitate the sharing of best and emerging practices; share insights and drive lessons learned sharing with leadership and partners to ensure global consistency and opportunities for improvements are optimised.
  • Standardize execution of projects, providing guidance on consistent application of project management methodologies, ensuring successful delivery of projects consistent with strategic plans.
  • Optimise the use of digital tools/platforms to enhance productivity, reporting, integration, transparency, and decision-making across teams.
  • Establish and maintain relationships and communications at all levels of the organisation. Connect with key stakeholders and clients to assess satisfaction levels with products and services.
  • Support on continuous development of reports, onboarding processes for local PMs, and PjM Playbook through the Centre of Excellence (CoE).
  • Manage reporting updates across self-delivered and partner-delivered projects, ensuring alignment with global reporting requirements.
  • Support the EPM Lead with data consolidation and pipeline analysis to inform portfolio-level decision-making
  • Contribute updates for bi-weekly WIP reporting across pipeline and active projects.
  • Manage and assure completion of close-out process requirements; gather data to support close-out activities and programme-level planning.

Project Leadership & Change Management

  • Establish and lead proactive, transparent, and effective communications cadence to ensure timely dissemination of information with the EPM team, program/project teams, and matrix stakeholders.
  • Ensure a comprehensive, integrated program strategy that delivers outcomes of strategic importance to the business.
  • Act as a leader for cross-functional project teams; identify the Project Teams, oversee the project programme, leads and oversee coordinate execution of all activities required for change implementation. Hold project teams accountable to critical milestone dates; highlighting opportunities for acceleration; clearly communicating project delays and escalations.

Qualifications

Essential

  • 5+ years' experience in PMO, project coordination or programme management.
  • Experience supporting large corporate clients within real estate, construction, workplace or professional services environments.
  • Advanced Excel and Power BI reporting capability.
  • Strong analytical, organisational and communication skills.
  • Experience working with senior stakeholders and executive teams.
  • Excellent attention to detail and ability to manage multiple priorities simultaneously.
  • Strong understanding of project governance, controls and reporting.

Desirable

  • Experience supporting global or multi-country programmes.
  • Prince2, APM or PMI certification.
  • Experience within occupier services, corporate real estate or workplace transformation programmes.
  • Knowledge of PMWeb, Smartsheets or Microsoft Project or similar project management platforms.
