Purpose of the Role
An experienced probate legal professional combining deep technical expertise with mentorship capabilities. The Senior Case Manager acts as the technical authority for probate and estate administration matters, providing legal oversight, quality assurance and expert guidance across the team.
The Senior Case Manager independently delivers outstanding client outcomes on complex, taxable, and high-value estates while providing technical guidance, approving legal applications/IHT forms for junior team members, and ensuring compliance with regulatory and legal standards. Works in partnership with the Probate Operations Manager to ensure technical excellence is delivered within an efficient and scalable operational environment.
Performance Measures
- Case Progression & Throughput: Case completion rates and progression efficiency across complex matters.
- Documentation & Application Accuracy: Accuracy of probate applications, IHT forms, and estate accounts.
- Client Satisfaction: Positive CSAT/NPS feedback and empathetic client communications during sensitive life events.
- Compliance & Quality Standards: Adherence to internal SLA targets, compliance protocols, and legal quality standards.
- Mentorship & Team Progression: Effective coaching, development, and technical support provided to Junior Case Managers, Trainee Solicitors, and Administrator
Key Responsibilities
- End-to-End Complex Casework: Independently manage a varied caseload of complex, taxable, and high-value probate and estate administration matters from instruction through to final distribution.
- Technical Quality Assurance: Review and approve IHT forms, Grant of Probate applications, and estate accounts for Junior Case Managers and Trainees.
- Technical Legal Guidance: Serve as the technical escalation point on complex probate law, IHT rules, trust structures, HMRC procedures, and HMCTS requirements.
- Senior Stakeholder & Client Contact: Act as the senior point of contact for complex executor/beneficiary relationships, high-net-worth clients, and professional referrers.
- Mentorship & Development: Mentor, coach, and support junior team members, driving high standards of legal drafting and procedural compliance.
- Process & Tech Optimization: Support continuous operational improvements, legal tech integration, and the adoption of AI tools across probate workflows.

Is a seasoned Private Client / Probate Solicitor or Legal Executive with 5+ years PQE looking to combine senior technical casework with team coaching and process innovation. It suits someone with deep expertise in complex IHT matters who thrives in a fast-paced, tech-enabled legal environment.
Knowledge, Skills and Experience required
Experience
- Minimum 5+ years’ experience (PQE) managing end-to-end probate and complex estate administration matters.
- Proven track record handling complex, taxable, and high-net-worth estates.
- Experience reviewing/approving legal documentation and mentoring junior legal staff
Education/ Qualification
- Qualified Solicitor, Chartered Legal Executive (CILEx), or experienced probate professional with equivalent qualified expertise.
- STEP qualification (or working towards STEP) is highly desirable
Technical
- Advanced technical knowledge of probate law, IHT, HMRC regulations, and HMCTS online/offline procedures.
- Proficiency in case management platforms (e.g., Oracle, Exizent) and confidence leveraging legal tech/AI tooling.
- Excellent legal drafting and risk analysis capabilities
General
- Outstanding client-centric communication and empathetic stakeholder management.
- Strong leadership, coaching, and collaborative team-building skills.
- Commercial awareness and a structured approach to volume/SLA delivery
