About The Role

PEI Group has an exciting opportunity for a Senior Project Manager of Events to join the Events function based in London, reporting into the Managing Director of Events. This is a senior, delivery-critical role: the successful candidate will be responsible for driving all cross-functional teams – Production, Logistics, Sponsorship, Delegate Sales, LP Acquisition, Marketing and Networks – to hold to their deliverables, ensuring the on-time delivery of PEI's global events portfolio against agreed timelines. The role requires credibility, experience and presence to influence functional leads and secure delivery without formal authority over them, sitting at the centre of event delivery and driving cross-functional discipline, transparency and pace across every stage of the event lifecycle.

  • Own and maintain the master cross-functional delivery timeline for each event (30 annual), mapping every milestone, dependency and deadline owned by Production, Logistics, Sponsorship, Delegate Sales, LP Acquisition, Marketing and Networks.
  • Track deliverables against the agreed timeline for each event and proactively flag slippage, bottlenecks and cross-team dependencies before they impact delivery.
  • Hold cross-functional teams accountable for their deliverables, chasing outstanding actions and escalating persistent risks or non-delivery to the relevant Head of Function and the Managing Director of Events.
  • Run regular cross-functional milestone and status meetings for each event, setting agendas, capturing actions/owners/dates, and following up until closed.
  • Build and maintain a RAID (Risks, Assumptions, Issues, Dependencies) log per event, and drive mitigation plans with the relevant functional owners.
  • Act as the single point of coordination between Production, Logistics, Sponsorship, Delegate Sales, LP Acquisition, Marketing and Networks, ensuring all teams are aligned on critical dates and interdependencies.
  • Produce clear, concise status reporting for the Managing Director of Events and senior stakeholders, highlighting overall portfolio health, at-risk events and required interventions.
  • Standardise and continuously improve event project management processes, templates and tooling (e.g. timelines, trackers, dashboards) for consistent use across all event teams.
  • Partner with Event Producers/Operations Managers to align the cross-functional timeline with the onsite delivery plan.
  • Identify recurring points of failure or delay across the portfolio and work with functional leads to implement process improvements.
  • Lead post-event retrospectives focused on cross-functional delivery performance, capturing lessons learned and tracking follow-up actions.
  • Support the Managing Director of Events with portfolio-level planning, prioritisation and resourcing conversations where cross-functional delivery risk is a factor.
  • Manage multiple concurrent events at different stages of the delivery lifecycle simultaneously.

About You

  • 5-10 years' experience in project management, event operations, or programme coordination, ideally within events, media, or a fast-paced matrixed organisation.
  • Proven, demonstrable track record of driving senior stakeholders and functional leads to deliver against timeline, without formal line authority over them.
  • Strong track record of managing complex, multi-workstream timelines with multiple interdependent owners.
  • Confident, credible communicator able to challenge senior stakeholders constructively and maintain momentum under pressure.
  • Excellent organisational skills and exceptional attention to detail.
  • Skilled at building and maintaining project tracking tools (timelines, RAID logs, dashboards) and translating them into clear reporting.
  • Confident, hands-on user of a shared project/task management platform for tracking cross-functional deliverables and timelines (e.g. Smartsheet, Asana, or Monday.com); able to set up, administer and drive team adoption of the chosen tool.
  • Ability to manage multiple events/projects concurrently in a changing, fast-paced environment.
  • A proactive, solutions-oriented approach to identifying and resolving cross-functional risk.
  • Comfortable operating across Production, Logistics, Sponsorship, Delegate Sales, LP Acquisition, Marketing and Networks functions, understanding how each contributes to event delivery.
  • Proficient in Microsoft Office applications, including Excel, Word, PowerPoint, and Outlook.
  • Proficient in a Project Management tool to track deliverables and timing.
  • Formal project management qualification (e.g. PRINCE2, PMP, AgilePM) preferred.
