Senior Property Manager

Location: Flexible to travel to Bupa clinics across the UK (North)

Office base location: Manchester M50 3SP or Leeds LS5 3BF

Permanent

Full time 37.5 hours per week

Salary: £56,300 - £70,300 depending on experience + Management Bonus

The role

Through the management of the Property outsourced Facilities Management services and in partnership with Bupa’s Property Managers, you’ll play a key role in ensuring the consistent and effective operational delivery of these services.

Responsible for the regular auditing, measurement and reporting of the contracted services, ensuring they’re delivered in line with the contract SLA’s and KPI’s and managing and escalating supplier underperformance.

  • You’ll manage a suite of regular service reviews meetings across the Facilities Management suppliers, making sure accurate reports are issued and deadlines are met.
  • You’ll provide leadership to the Facilities Management supplier base and focus to the local Property Management team, providing appropriate and up-to-date technical, commercial and supplier specifications to fully discharge the team’s responsibilities of local supplier management.
  • You’ll provide regular strategic management input which complements but doesn’t duplicate the tactical and operational management role of the Service Provider.

How You’ll Help Us Make Health Happen

  • Responsibility for the delivery of a structured management, audit, reporting and review process across the Property supplier base, which will require regular engagement with the Procurement support teams.
  • Contribute to the overall Business Continuity strategy through ensuring that the Facilities Management suppliers hold, share and test their robust plans.
  • Utilise Facilities Management best practice principles including risk transfer, use of output specifications and key performance indicators to efficiently manage the service delivery of outsourced service providers.
  • Provide effective, proactive and timely communication to ensure appropriate business colleagues are sufficiently consulted in Facilities Management services.
  • Focus on monitoring, auditing and checking the currency of the service provider’s quality management, performance monitoring and management information systems.
  • Ensure that the service providers monitor their own service delivery in accordance with their quality management.
  • Build and report on revenue Property budgets across the property portfolio in order to ensure the subsequent and effective financial performance in line with the agreed plan.
  • Provide monthly and ad-hoc reporting on budgetary performance in accordance with Finance requirements.
  • Validation and authorisation of invoices from service providers in accordance with published financial policy and parameters.
  • Provide direction and support to the local Property Management team by monitoring, auditing and checking the currency of the service provider’s quality management, performance monitoring and management information systems, ensuring the service provider monitors its own service delivery in accordance with its quality management regime.
  • Compliance – ensure global sites are adhering to Bupa’s compliance policies, develop plans to achieve this, review current documents and advise management of possible risks.
  • Provide support in organising contracts to make sure compliance items are being completed. Implement and monitoring through C365.
  • Health, safety & reporting – Represent BG property at H&S committee meetings, monitor and complete remedial actions.
  • AOP Budgets - Support the local business in preparing AOP budgets and identifying cost saving initiatives
  • Overview of policy compliance (reception / security, fire warden, first aid)
  • Security Risk Assessments – completion of assessments, monitoring, remedial actions and delivery of policy. Review annually to make sure the sites are adhering to the policy.
  • Refurbishment / fit outs - providing Property Management support in the design stage, business readiness and office move from start to finish of project.

You

  • Evidence of significant Facilities Management experience, ideally with a related qualification
  • IOSH / NEBOSH General Certificate is preferred.
  • Experience of supporting the development and implementation of Facilities Management strategy that’s consistent and appropriate to overall business strategy and reflects the needs of stakeholders.
  • Experience of supporting negotiation and the procurement of Facilities Management service contracts based upon Facilities Management best practice principles including risk transfer, use of output specifications and key performance indicators.
  • Understanding and knowledge of performance measurement techniques within the current Facilities Management market and experience of devising and/or managing such systems.
  • Experience of managing customer and service provider relationships and of creating, implementing and managing service level agreements.
  • Experience of strategic management of hard Facilities Management services and experience of developing strategies for the effective maintenance of built and installed assets.
  • Experience of strategic management of soft Facilities Management services and development of strategies for their delivery to meet stakeholder needs whilst responding to organisational culture.
  • Sound working knowledge of standards and legislation as applicable to the Facilities Management market.
  • Knowledge of the current trends and thinking within the Facilities Management market and demonstrable ability to apply them in an operational setting.
  • Experience of managing health & safety at work and knowledge of relevant health & safety legislations.
  • An inclusive and consultative leader, adept at coaching, mentoring and empowering a team.
  • Experience of managing change programmes and an understanding of the effect of change on organisations.
  • An influential negotiator with outstanding communication skills and the ability to build and sustain relationships at all levels.
