The Role
We are seeking an experienced and highly organised Research & Innovation Administrative Assistant to provide comprehensive administrative support to two Research Co-ordinators within the NHS Greater Glasgow & Clyde Sponsor Team. The post holder will support Glasgow-led research studies and the approval of a diverse portfolio of research projects, acting as a key point of contact for researchers ranging from students to Consultant level staff. The role involves coordinating research administration processes, supporting governance requirements, managing document submissions, and assisting with the delivery of high-quality research across NHS Greater Glasgow & Clyde.
NHS Greater Glasgow and Clyde (NHSGGC) may be able to provide visa sponsorship for certain roles, subject to the post meeting the relevant eligibility criteria. Sponsorship is not guaranteed and will be determined on a case-by-case basis following interview and during the pre-employment verification process. - Gartnavel General Hospital
- 36 Hours - Monday to Friday (Flexible Working)
Key Responsibilities
- Develop and maintain effective administrative systems to support NHS Greater Glasgow & Clyde Sponsored and Co-Sponsored research activity, ensuring compliance with regulatory and governance requirements.
- Coordinate document submissions, track research approvals and timelines, and guide researchers through the Sponsor and Research & Innovation review processes.
- Liaise with internal support departments such as Pharmacy, Nursing, Finance, Imaging and Tissue Services to facilitate study delivery.
- Manage communications with researchers, maintain records and diaries, and build effective working relationships with partner organisations including universities, research teams, and other NHS Research & Development offices.
- Support the Sponsor Team in monitoring priorities, managing deadlines, and ensuring researchers remain informed throughout the approval process.

Knowledge, Training, Qualifications and/or Experience Required
- Educated to degree level in Business Administration, Biomedical Science, Biological Science, Nursing, Social Science or equivalent experience.
- Demonstrable experience of research administration within the NHS, Higher Education Institution (HEI) sector, or equivalent environment.
- Good understanding of research methodologies and research terminology.
- Knowledge of NHS administrative and governance systems.
- Experience working within a clinical research or healthcare environment.
- Excellent written, verbal and interpersonal communication skills.
- Strong organisational skills with the ability to prioritise workloads and manage multiple tasks effectively.
- Excellent IT skills, including Microsoft Word, Excel, PowerPoint, Outlook and internet-based systems.
- Experience developing and maintaining office systems and administrative processes.
- Ability to work effectively both independently and as part of a multidisciplinary team.
- Ability to work under pressure and manage competing priorities within a busy environment.
- Experience building and maintaining productive working relationships with a range of stakeholders.
- Evidence of continuing professional development.
- Strong time management, planning and organisational skills.
- Ability to contribute to service improvement and support organisational change.
- Awareness of confidentiality, governance requirements and professional sensitivities within a research environment.
