LVS Garage Services is a premier, fast-paced automotive business based in Livingston. Established for 40 years, we have built a trusted reputation for excellence, reliability, and top-tier customer service in the local community.
We are now seeking an experienced, forward-thinking Senior Service Advisor / Office Administrator to join our established team. This is a pivotal role within our business. You will be the face of LVS to our customers, the critical link between clients and our technicians, and the engine that keeps our workshop running at peak efficiency.
This is far more than a traditional reception role. We want someone who wants to help drive the business forward. YOUR ROLE
From the moment a customer contacts us, you will ensure they receive a first-class experience. Your core responsibilities include:
Customer Experience & Front of House
- Delivering a warm, professional, and genuine welcome to every customer.
- Handling incoming telephone calls, emails, and social media enquiries promptly.
- Articulating complex vehicle issues into clear, accurate quotations for customers.
- Providing confident, professional resolutions to customer queries.
- Managing the collection process, preparing invoices, and processing payments.

Workshop Coordination & Diary Management
- Booking vehicles into the workshop and optimizing the daily diary.
- Creating detailed, accurate job cards to give technicians clear parameters.
- Monitoring daily workshop capacity, scheduling maintenance, and planning future workloads.
- Maintaining real-time communication with technicians to keep jobs moving seamlessly.
- Partnering closely with the Garage Manager to ensure maximum operational efficiency.
Business Improvement & Administration
- Identifying opportunities to improve workshop scheduling, booking processes, or administration efficiency.
- Contributing fresh ideas and executing agreed strategies to help the business grow.
- Ordering parts, dealing directly with suppliers, and negotiating where necessary.
- Managing stock control to prevent workflow delays.
- Compiling and maintaining daily, weekly, and monthly operational reports.
THE PROFILE
Proven experience in a busy automotive workshop or garage environment is essential. To succeed in this role, you must be:

- A Master Coordinator: Highly organized with a proven track record of managing multiple priorities in a fast-paced environment.
- An Exceptional Communicator: Able to articulate technical details clearly to customers, suppliers, and team members.
- Proactive & Solution-Oriented: A self-starter who anticipates operational bottlenecks and resolves them before they cause delays.
- Detail-Driven: Accurate and methodical, ensuring no detail is missed across job cards, invoices, or reports.
- Tech-Savvy: Proficient with Microsoft Excel, Word, and specialized garage management software.

WHAT LVS OFFERS

THE DETAILS
- Hours: Monday to Thursday (7:30am – 5:30pm), Friday (7:30am – 5:00pm), and every 3rd Saturday (7:30am – 12:00pm).
